The Office Manager is a fast-paced, dynamic, high-energy leadership role within the firm, is grounded in our big picture systems change projects, and both supports our staff as well as senior leadership across our agile project management team. This is a hybrid remote position with up to 25% national travel as needed. 

The Office Manager at Transform Health is expected to:

• Create a new remote office process for new hires around the country and in California, where we are headquartered. 

• Travel to our physical office and organize process with leadership onsite in Sacramento, as well as operate and maintain our virtual office for a strong remote staff experience. 

• Track projects and work in Salesforce and other data management systems such as TeamWork. Comfortability and experience using various technological tools to manage workflows and processes are a key part of this role. 

• Coordinate with C-Suite staff and our MIS Manager and will report to the Director of Operations on a day-to-day basis to ensure all of our project tracking systems are efficient and streamlined both in Sacramento and for our remote staff. 

• Manage and support the technical and communications aspects of technology adoption across the staff and leadership and assist our clients with stakeholder engagement technology needs across all of our projects within budget and on time. 

• Develop and implement internal and external information system adoption strategies in collaboration with the MIS team. This includes both in-person and remote training.

• Collaborate with the Director of Operations and C-Suite to build out our in-person office and ensure our infrastructure is running smoothly.  

• Identify opportunities to deploy currently used and new technologies to assist in internal and external projects. 

• Deploy customer service techniques to work with our clients in capacities such as planning sessions at conferences, attending stakeholder events and networking for the company, and tabling. Understand and be able to speak intelligently about our work to support external-facing needs.  

• Efficiently and effectively keep clients informed and current with project progress, goals, and issues. 

• Demonstrate intellectual curiosity and be able to self-direct, anticipate questions, and problem solve. 

• Coordinate meetings, prepare agendas, take meeting notes, inform strategy, and manage client relationships using our CRM and work planning technology. 

• Provide senior-level project management support to the team to ensure project activities are on track. This also includes working in a collaborative spirit with other staff and partners to develop state-required data reports.

• Manage and make appropriate assignments to support staff to meet project deliverables and goals.

• Adhere to our firm’s workflows to meet project goals including time tracking and work planning providing timely progress reports and project updates to senior leadership and key stakeholders.

• Assist with scheduling meetings with C-Suite and other staff with external stakeholders and clients. 

• Take notes at meetings when needed, and ensure a consistent, high-touch, meticulous client experience.

• Provide infrastructural support and capacity building to the leadership of the firm including work planning, implementation planning, identification of training needs, and the development of forms, processes, Excel tracking documents, workflows, and others processes to support operations.

• Other duties as assigned.

Minimum Requirements:

• At least five years’ experience successfully managing a physical and virtual remote workforce.

• Demonstrated experience successfully managing client relationships and ensuring work is delivered on time and within budget. 

• Detail-oriented, self-starter who can self-generate work in accordance with the direction of the firm.

• Strong desire to problem-solve and innovate. 

• Excellent time management and demonstrated ability to complete work within budget and deadlines.

• Ability to speak publicly and eager to learn about health systems transformation work.

• Bachelor’s degree or equivalent work experience.
