The Brearley School— an independent K-XII day school for girls in New York City known for its academic excellence, cross-divisional teaching and diverse community — seeks an experienced, compassionate and committed professional to become the Advancement Database Manager.

Position and Responsibilities

Reporting to the Director of Advancement, the Advancement Database Manager (ADM) is an essential role on the Brearley Advancement team—responsible for all aspects of maintaining and structuring Brearley’s Raiser’s Edge/NXT database. From oversight of our gift processing, donor acknowledgement and constituent information storage, to reporting out relevant information for various fundraising projects and analysis, the ADM truly impacts every aspect of development at Brearley.

Brearley seeks a collaborative, creative systems thinker, who enjoys strategic data-backed work and working collaboratively with teammates on how to utilize the donor database for their individual professional roles. A thorough knowledge of the Raiser’s Edge product is required. This is a full-time, in-person, 12-month/year role based on our Upper East Side campus of Manhattan, NYC.

Key Responsibilities include:

• Chief architect of Brearley’s Raiser’s Edge/NXT development database of approximately 4,000 alums, parents and other constituents. This position would helm donor database operations, from data cleanup to new record creation to information and reports structuring.

• Manage process of inputting gifts and pledges into database, aided by a full-time Development Assistant. Report and balance daily gifts for Advancement and Business Offices.

• Work closely with development leadership to produce and assess information that can inform decision-making and advance fundraising. When needed, craft and generate reports tracking campaign progress, donor pipelines and year-to-year trends that supports overall Advancement strategy and multi-year planning.

• Manage and define gift receipt, acknowledgement, matching gift and pledge reminder processes, ensuring timely and consistent processing protocols. Occasional gift-entry at heaviest volume times of year or in instances with unusual or complex gifts.

• Aggregate incoming donor information and ensure records are accurately and regularly updated, including adding new constituents, updating biographical information and noting event attendance.

• Provide accurate reports and data files to meet both internal and external information reporting needs, including monthly reconciliation with Business Office, the annual Giving Review and gift documentation for auditors.

• Provide support in the creation of reports for mailing lists and nametags for various and diverse events and communications.

• Train fellow Advancement colleagues on best-practices within the logical duties of their positions at Brearley to help optimize data self-sufficiency.

• Other duties as assigned.

Qualifications include:

• Bachelor’s degree with at least 3 years of relevant experience on Raiser’s Edge/NXT, preferably in advancement services or a related field such as library science or business information. 

• School experience at any educational level and prior work in donor database or wealth management systems preferred.

• Demonstrates a commitment to the Brearley School Mission and School principles of inclusion, belonging and DEIA.

• Extremely organized, with precise attention to detail and strong analytical skills.

• Extensive experience and proficiency with database management. Outstanding problem-solving skills, and the flexibility to respond to changing priorities. Strong aptitude with Microsoft Word and Excel.

• Ability to handle multiple tasks simultaneously and proactively refine office processes to maximize efficiency.

• Team player with good humored, friendly approach and a positive outlook in verbal and written communication, both within the team and towards outward constituencies.

Compensation and Benefits

The base salary range offered will be $90,000 - $105,000 based upon experience.
