POSITION SUMMARY
The OYC Operations Coordinator works as part of the Opportunity Youth Collaborative team under the direct supervision of the Operations Manager. This is a full-time non-exempt position.

About the L.A. opportunity youth collaborative
The L.A. Opportunity Youth Collaborative (LA OYC) is building a community of organizations working in concert to ensure that every Opportunity Youth (OY) is served in a holistic way with a coherent array of complementary services. We are building and strengthening bridges among more than 120+ public agencies, service organizations, educational institutions, and employers to better connect youth with education, jobs, and opportunity. Opportunity Youth (OY) are described as young people, ages 16-24, who are disconnected from school and work. This includes young people involved in the child welfare, juvenile justice and unhoused systems.
WHAT YOUR IMPACT WILL BE
Under the direct supervision of the Operations Manager, the OYC Operations Coordinator will play a crucial role in the LA Opportunity Youth Collaborative by providing administrative support to ensure the smooth execution of the initiative’s objectives.
Job duties include:
Community Partnerships
- Develop and maintain a comprehensive list of community partners and upcoming events, ensuring the organization stays informed and connected with key stakeholders.
- Track and secure letters of support from elected officials and community partners, ensuring timely submissions and proper documentation.
- Cultivate and maintain strong relationships with community partners, serving as a neutral convener for the Opportunity Youth Collaborative (OYC) to foster collaboration and mutual support.
Communications
- Manage and curate social media content for the LA OYC that ensures consistent and impactful online engagement.
- Support with updating the OYC website content, as needed.
- Track analytics across communication channels and prepare basic reports on engagement and reach.
- Curate partner shared youth resources tailored to the needs of Opportunity Youth (OY).
- Lead the production and distribution of the LA OYC bi-weekly newsletter, including the development of special editions, ensuring timely delivery and high-quality content.
Event Logistics Coordination
- Provide onsite support during in-person meetings and events, including setup, check-in, and day-of coordination.
- Coordinate and manage logistics for internal and external meetings and events, ensuring clear communication with partners, vendors, and staff.
- Lead and support the meeting and event planning process, such as securing venues, arranging catering, developing agendas, and preparing all necessary materials for successful execution.
- Develop and maintain event planning checklists and timelines to support smooth execution.
- Create and manage event registration platform pages and promotional materials.
- Manage virtual meeting platforms, including Zoom, to facilitate hybrid or fully virtual events, ensuring technical aspects are properly handled.
Administrative Support
- Assist with email management and organization for the OYC Director, prioritizing communications and ensuring timely responses.
- Manage the OYC Director’s calendar, including scheduling and coordinating meetings to optimize time and productivity.
- Support project management through Asana, ensuring all projects are updated, organized, and aligned with organizational goals.
- Coordinate with internal and external stakeholders to obtain necessary approvals and signatures for all Memorandum of Understanding (MOU), maintaining strong communication throughout the process.
- Maintain organized records of all signed MOUs, ensuring proper documentation and compliance with organizational standards.
- Manage travel arrangements for OYC staff and partners attending conferences, workshops, and other events, including booking flights, accommodations, and ground transportation.
- Coordinate conference registrations, ensuring all necessary arrangements are made for attendees.
- Prepare and distribute travel itineraries, ensuring all participants have the necessary information for their trips.
Young Leaders Program Support
- Provide administrative support for the Young Leaders Program, including tracking attendance, maintaining participant records, managing communications, and supporting day-to-day program operations.
- Assist in the processing and timely distribution of stipend payments for Young Leaders, maintaining financial accuracy and transparency.
- Assist with the planning and execution of Young Leaders trainings and events, including coordinating meetings, managing logistics, sending reminders, and ensuring smooth implementation.
- Collaborate with the Alliance Transition Age Youth (TAY) and Health Care Teams to help Young Leaders navigate and overcome barriers, ensuring access to necessary resources and support.
THE IDEAL CANDIDATE WILL POSSESS
- A strong track record of successfully coordinating and facilitating youth-focused programs, with a particular emphasis on engaging and supporting Opportunity Youth (OY).
- Exceptional organizational and multitasking abilities, ensuring that all logistical and operational aspects of meetings, events, and initiatives are managed seamlessly.
- Demonstrated ability to build trust and maintain collaborative relationships, while also providing mentorship and guidance to youth participants.
- Ability to work autonomously and advance multiple projects with minimal supervision.
- Bachelor’s Degree Required
Experience and Skills
- 1-3 years of experience in youth development, mentoring, or related fields, particularly with Opportunity Youth (OY).
- Proven experience in coordinating and facilitating meetings, events, and training sessions.
- Strong organizational skills with the ability to manage multiple tasks, priorities, and deadlines effectively.
- Excellent communication and facilitation skills, with the ability to engage and motivate youth participants.
- Demonstrated proficiency in administrative and operational support tasks, including document preparation, record keeping, and logistics management.
- Strong relationship-building skills, with experience working collaboratively with a diverse group of stakeholders, including nonprofit organizations, community groups, and government agencies.
- Experience managing communications or social media platforms, including content creation, scheduling, and engagement is strongly preferred.
- Familiarity with Asana, MailChimp, Canva, WordPress and G-Suite is strongly preferred
- Must be able to work onsite frequently and reliably, as our team hosts many meetings and events in person.
