    Job Title: Operations Manager

    Reports to: Senior Operations Manager

    Start Date: ASAP

    Salary range: $75,000-$100,000

    Location: Remote with occasional in-person time

    ORGANIZATION OVERVIEW

    Greenlight America is the leading grassroots campaign force powering the nation’s clean energy transition at the local level. Founded in 2023, we support local organizations and volunteers working to get clean energy projects built in their communities. In the past two years we have advanced roughly 15 gigawatts of clean power to the grid, approximately 10x the size of the Hoover Dam.

    POSITION OVERVIEW

    The Operations Manager will play a crucial role in supporting the Operations team in ensuring the smooth operation of Greenlight America. This includes managing daily operations, systems management and optimization and ensuring the organization's foundations are strong and adaptable. The ideal candidate will have a strong background in operations management, a creative and risk-taking mindset, and a focus on scaling during a period of growth.

    A successful candidate for this position will have excellent problem-solving skills, the ability to think strategically, and a hands-on approach to managing day-to-day operations. They will be adept at juggling multiple priorities and will possess a strong sense of initiative. The ideal candidate will have experience working in a nonprofit setting, a deep commitment to the mission of accelerating the clean energy transition, and a track record of successfully supporting organizational growth and development. They should be highly organized, detail-oriented, and comfortable working both independently and as part of a team.

    The position is remote and reports to the Senior Operations Manager.

    PRIMARY ROLES AND RESPONSIBILITIES

    Operations

    • Support in the management of the day-to-day operations of the organization, ensuring efficient systems and processes are in place.
    • Enhance operational systems and administrative support services through improvements to each function and coordination between functions.
    • Manage internal administrative functions such as vendor coordination, subscriptions, organizational accounts, and internal documentation.
    • Support in the management of the contract request and regrant process by coordinating with staff, partners, vendors, and consultants, ensuring timely follow-up and submitting draft agreements for review and approval.
    • Monitor active contracts and proactively notify department heads of upcoming expirations.
    • Support with monitoring and managing the progress and status of invoices and bills to ensure timely processing and payment.
    • Provide support in managing staff expenses and time allocations to ensure they are submitted and processed within the scheduled timeframe.
    • Serve as point of contract for filings, and support in the preparation and submission of required regulatory filings, and leading submissions for lobbying reports.
    • Develop and maintain a master compliance calendar for filings, renewals, and key operational deadlines.
    • Ensure compliance with federal, state, and local regulations.
    • Support the management of logistics for staff retreats and staff events.
    • Other duties as assigned.

    Human Resources

    • Serve as a point of contact on HR related matters.
    • Provide support to ensure payroll and time sheets are submitted and approved ahead of schedule.
    • Provide support with management of the HRIS system(s).
    • Provide support with managing and maintaining personnel records.
    • Maintain knowledge of emerging trends, best practices, and regulatory updates in human resources to ensure compliance and continuous improvement.

    Information Technology

    • Provide IT support for the organization, troubleshooting basic issues in Google Workspace and other platforms.
    • Lead project management for the evaluation, selection, and implementation of new organizational tools and systems.
    • Serve as the primary administrator for core operational tools, managing user access, permissions, and integrations across platforms.
    • Collaborate with staff to assess needs and identify technology or process solutions that improve efficiency and communication.
    • Develop and maintain standard operating procedures (SOPs) and user guides for new systems and tools.
    • Maintain internal resource libraries and shared drives, ensuring consistent structure and access across the organization.
    • Partner with IT vendors and consultants as needed to ensure smooth deployment, data security, and compliance with organizational policies.
    • Ensure best cyber security practices are in use, and suggest updates when necessary.
    • Monitor data integrity and security best practices across systems.

    EXPERIENCE AND QUALIFICATIONS

    We are especially interested in candidates with the following qualifications:

    • 3+ years experience of relevant professional experience in operations management.
    • 1+ year experience in human resources.
    • Experience in improving operational systems and managing organizational growth.
    • Ability to analyze and resolve complex issues.
    • Ability to manage multiple tasks simultaneously.
    • Passion for accelerating the clean energy transition.
    • Preferred: experience working in cyber security
    • Preferred: experience in lobbying report filing with a strong understanding of compliance requirements.
