Executive Assistant to the Executive Director (Hybrid: Remote & On-Site)
Position Summary:
The Executive Assistant provides comprehensive support to the Executive Director and plays a key role in the day-to-day operations, development, communications, and administration of Rowdy Girl Sanctuary. This hybrid position blends remote work with occasional on-site responsibilities at the sanctuary (about 1–2 times per week), making it an excellent opportunity for candidates based in the Austin or San Antonio metropolitan areas.
We are seeking a mission-aligned individual who is eager to learn the organization inside and out, gain hands-on experience across all areas, and grow professionally under the guidance of our Executive Director and team. This role provides opportunities to take on increasing responsibility as the organization expands.
Reports to: Executive Director
Key Responsibilities:
Executive Support:
- Provide high-level administrative support to the Executive Director, including calendar management, scheduling, correspondence, daily reports, and travel arrangements.
- Serve as a liaison between the Executive Director, staff, consultants, and more.
- Coordinate meetings and other executive-level engagements, preparing presentations, agendas, reports, and maintaining organizational records.
- Prioritize and manage incoming requests to help the Executive Director focus on high-priority matters.
- Prepare briefing materials, summaries, and research to support decision-making and executive initiatives.
- Track and follow up on key projects across departments to ensure timely completion.
- Facilitate cross-departmental communication and ensure updates are clearly communicated.
- Assist with the development and execution of executive-level events, special initiatives, fundraising campaigns, end-of-year campaigns, donor stewardship, and grant applications and reporting as needed.
- Develop and maintain relationships with donors, partners, and mission-aligned organizations.
- Attend weekly meetings with all departments, take detailed notes, and distribute them as needed.
- Handle confidential information with discretion and professionalism.
Administrative Tasks:
- Lead the volunteer program and coordinate private tours, including scheduling with visitors and staff.
- Manage wish list initiatives to support sanctuary needs.
- Support financial administration by assisting with monthly budgets and financial reviews.
- Respond to all digital contact form inquiries (general, volunteer, intake) and see them through to resolution.
- Handle CRM data entry and records (Funraise experience preferred).
- Prepare the weekly Animal Care staff schedule to ensure full coverage.
- Keep G Suite organized for efficient document access and collaboration.
- Provide backup support to the Administrative Assistant as needed.
Marketing, Media, & Communications:
- Collaborate with the Marketing Director to create event flyers, program brochures, landing pages, and digital assets; serve as backup designer when needed.
- Collaborate with the Development Director to develop, design, and execute newsletters and email campaigns (Mailchimp and mail merge experience preferred), incorporating photography and photo editing to strengthen donor support, campaign awareness, and event promotion.
- Lead the social media team, strategy, and content calendars; create content across social media platforms as needed.
- Track, analyze, and report engagement using Google Analytics, Meta Insights, and other tools as needed to inform strategies and improve reach.
- Stay current on social media trends and best practices to continuously improve content and engagement.
- Capture photos and create scripts and video content at the sanctuary to support storytelling.
- Track and maintain a database of all Executive Director quotes and past media interviews.
- Act as liaison with media, coordinating interview requests, scheduling, and follow-up.
Qualifications:
- High school diploma or equivalent required; bachelor’s degree in nonprofit management, communications, marketing, or a related field preferred. Relevant experience, skills, and alignment with the mission are more important than formal education.
- Strong organizational, time management, and multitasking skills.
- Team leadership experience; ability to lead and coordinate teams effectively.
- Excellent written and verbal communication skills.
- Proficiency in Google Workspace (Docs, Sheets, Drive, Calendar), CRM software (Funraise preferred), email marketing (Mailchimp), and social media platforms.
- Experience in nonprofit administration, fundraising, or program coordination is a plus.
- Photography, video creation, and graphic design experience preferred.
- Ability to handle confidential information with discretion.
- Knowledge of the animal rights movement preferred.
- Commitment to veganism or a willingness to learn, and alignment with the mission of Rowdy Girl Sanctuary.
- Comfortable with hybrid work (remote + 1–2 days on-site per week; schedule may vary to meet the mission’s needs).
- Willingness and ability to travel as needed and attend local events.
- Flexibility to work on weekends as required.
- Responsive and accessible via email and text to support urgent needs and deadlines.
- Ability to manage time flexibly, adjust work hours as needed, and be on call for urgent sanctuary matters.
Schedule & Pay:
- Hours: Monday through Friday, with flexibility to work nights and weekends as needed to support events, deadlines, or sanctuary needs
- Hybrid: Remote + 1–2 on-site days/week
- $40-$45,000 per year commensurate with experience.
