End Hep C SF (EHCSF) is a multi-sector collective impact initiative working toward the elimination of hepatitis C in San Francisco. Launched in 2016, EHCSF leverages evidence-based practices, community wisdom, and innovative resource-sharing to achieve its goals. With over 150 members representing 38 organizations, the initiative is both privately and publicly funded.
EHCSF is guided by a Coordinating Committee and four topic-specific work groups that recommend action steps to the Coordinating Committee. These workgroups – Community Research & Data Stewardship; Policy & Advocacy; Prevention, Testing & Linkage; and Treatment Access – include individuals with lived experience of hepatitis C, healthcare and social service providers, community advocates, health department representatives, and other stakeholders. An Executive Advisory Council and input from the community further guide these groups to ensure inclusive and responsive decision-making.
Position Overview
End Hep C SF (EHCSF) seeks a highly organized, detail-oriented Program Coordinator to provide administrative and logistical support for meetings, communications, and community events. This is a part-time (0.75 FTE; ~30 hours/week) position, employed through the San Francisco Public Health Foundation and reporting to the EHCSF Strategic Director. The role is mostly remote with occasional in-person participation in San Francisco (about 1–2 times/month). The role is primarily funded through a multi-year foundation grant, providing stable support and the potential for growth in hours as project needs and resources evolve.
The ideal candidate is self-directed, meticulous, and skilled at managing multiple priorities. They will have strong time management skills and the ability to work independently while staying connected to team goals. They should be proactive in seeking guidance and clarifying priorities to ensure alignment with the initiative’s work.
This position is well-suited for someone who enjoys administrative support and community engagement, including working with people living with hepatitis C and people who use drugs and/or are experiencing homelessness or housing instability. The ideal candidate enjoys working with diverse communities in a compassionate, non-judgmental manner, and thrives in a collaborative, mission-driven environment.
Key Responsibilities
Administrative & Operations Support
- Manage scheduling for leadership, workgroups, and community meetings, ensuring timely reminders and follow-ups.
- Take and distribute meeting notes, tracking action items and follow-ups for workgroups and leadership.
- Assist with preparing or formatting internal documents, reports, or contracts (e.g., scopes of work or payment requests) in coordination with the Strategic Director.
- Maintain an organized digital filing system for documents and meeting materials.
- Provide general administrative assistance for virtual and in-person meetings, events, and communications.
Communication & Coordination
- Draft, proofread, and format brief communications such as meeting reminders, updates, and follow-ups.
- Maintain and update contact lists, shared calendars, and Google Group membership lists.
- Support website updates, including posting new content or minor edits using Wordpress.
- Assist with implementing EHCSF’s social media plan, including posting approved content and maintaining an updated events calendar.
- Maintain clear and consistent communication with the Strategic Director to ensure priorities and timelines are aligned.
Data Entry & Reporting
- Conduct basic recordkeeping and document preparation (e.g., attendance tracking, meeting notes).
- Assist with reporting, including gathering documentation, tracking deliverables in shared project management tools, and compiling assets for funder or progress reports.
Resource & Supply Coordination
- Manage inventory of program materials and supplies, placing orders as needed.
- Support recordkeeping and documentation processes in coordination with the Strategic Director.
- Coordinate printing, purchasing, or vendor quotes for events, outreach materials, or training resources.
- Track incentive disbursements and honoraria in compliance with fiscal sponsor rules.
- Monitor spending against small project budgets, assist with vendor documentation, and help ensure expenditures stay aligned with approved budgets.
Event & Community Engagement Support
- Coordinate meeting RSVPs, calendar invites, and Zoom logistics, ensuring attendance is tracked and recorded.
- Provide administrative and logistical support for virtual and in-person events, including scheduling, materials preparation, catering, registration, and on-site setup.
- Support planning and live coordination of meetings, trainings, and community convenings, including logistics for the Community Navigator Program (e.g., scheduling, materials, communication, and on-site assistance).
- Track attendance, organize post-event documentation, and support collection of feedback or follow-up materials.
Required Skills & Experience
- At least three years of relevant administrative or coordination experience in a professional, nonprofit, or public-sector environment.
- Bachelor’s degree preferred but not required; equivalent experience in an administrative support or operations role will be considered.
- Demonstrated ability to work independently and manage priorities with minimal oversight while maintaining alignment with team goals.
- Exceptional organization and time-management skills; able to balance multiple tasks, meet deadlines, and track progress efficiently.
- Clear and proactive communicator, comfortable reaching out to colleagues and partners to gather information and move work forward.
- Strong attention to detail in tracking deadlines, maintaining documentation, and organizing materials.
- Strong tracking and follow-through skills, including maintaining project timelines, documenting progress, and supporting report preparation.
- Experience collaborating with diverse stakeholders in public health, community-based, or advocacy settings.
- Excellent written and verbal communication skills, including experience preparing professional correspondence or outreach materials.
- Proficiency with Microsoft Office, Google Workspace, and virtual meeting platforms (Zoom and Teams). Experience using web-based tools such as WordPress, Canva, or social media platforms, and comfort learning new software as needed.
- Experience using project management or task-tracking tools (e.g., Asana, ClickUp, Trello, or similar) to support coordination and workflow organization.
Preferred Skills & Experience
- Demonstrated commitment to public health, harm reduction, or hepatitis C elimination, with experience in community-based initiatives or advocacy.
- Familiarity with health equity frameworks, including working with communities impacted by health disparities.
- Strong communication skills, including the ability to assist with editing educational materials, outreach content, or reports for diverse audiences in collaboration with team members.
- Experience using Canva or similar design tools to create flyers, event materials, or basic visual content.
- Experience updating and maintaining social media and website content in collaboration with a team.
Work Environment & Schedule
- This is a mostly remote position, but the Program Coordinator will be required to attend and provide logistical support for in-person events and meetings in San Francisco, approximately 1-2 times per month (approximately 24 days per year). These may include community outreach events, workgroup meetings, and partner convenings.
- The role requires a balance of independent work and collaboration, with regular virtual check-ins and team coordination. Candidates should be comfortable managing tasks remotely while ensuring strong communication and alignment with initiative goals.
- Occasional evening or weekend hours may be needed for community events, with advance notice provided.
- Work hours may be scheduled flexibly across the week, in coordination with the Strategic Director and as projects allow.
