    Job Description: Dean of Operations

    Reporting to: Principal and Director of School Operations

    Role Summary: The Dean of Operations is a key leadership role responsible for managing all non-instructional aspects of the school, including Operations, Logistics, Compliance, Facilities, and Emergency Preparedness. This role is essential in fostering a safe, organized, and welcoming environment that supports student success and allows instructional staff to focus on teaching and learning.

    What you’ll do

    Basic Components of the Job Description for the Dean of Operations position include (but are not limited to):

    Management & Leadership

    • Oversee and lead all operational staff such as office personnel, campus aides, servers, and custodial/maintenance teams.
    • Ensure effective management and oversight of all food program components.
    • Foster and maintain relationships with local law enforcement (LAPD, LAFD) and emergency response teams on behalf of the school
    • Oversee expenses for facilities, school events, supplies, and other school-related purchases while ensuring compliance with financial policies and obtaining principal approval.

    Logistics & Daily Operations

    • Oversight of school operations budget codes School Procedures, Events, Activities
    • Submit credit card receipts and check requests to accounting department each month
    • Oversees pick-up and dismissal procedures
    • Oversees lunch distribution procedures, student meal participation, and meal waste.
    • Works in conjunction with school leaders to schedule events and transportation
    • Organizes school trips per procedures outlined in the field trip handbook (Transportation, field trip slips, lunch, reservations as needed)
    • Works with the administrative team to ensure a safe and effective campus setup for all school events (parent conferences, parent workshops, meetings, awards ceremonies, student cultural events, fitness nights, staff professional development/training, etc.)
    • Coordinate distribution and collection of technology and textbooks
    • Coordinate with photo vendors to schedule and conduct school photos, student IDs, promotion/graduation
    • Maintains inventory and manages ordering of campus, office, and classroom supplies

    Facilities

    • Monitor and assess school facilities, completing repairs and maintenance as required.
    • Respond to monthly facility walkthroughs and address recurring trends or issues.
    • Organize and manage annual fire alarm testing and fire extinguisher replenishment.
    • Oversee and manage school site help desk tickets, ensuring timely resolution.
    • Manage annual school facility upgrades and improvements.
    • Serve as the liaison with the landlord regarding events, upgrades, and facility-related matters.
    • Coordinate annual and quarterly servicing of school facilities (HVAC, plumbing, AED, elevators, pest control, etc.).
    • Maintain and update the inventory of keys and fobs, including collection and redistribution of hardware as needed.
    • Oversee and maintain the landscaping needs of the facility, including tree trimming, weed management, beautification efforts, and irrigation.

    Compliance

    • Collaborate with the Director of Expanded Learning to regularly review after-school programs for grant compliance.
    • Oversee student injury reporting protocols, liaising with admin, staff, family and insurance providers as necessary.
    • Ensure compliance with food program regulations, including health inspections, food temperature monitoring, etc.
    • Ensure compliance with school vehicle regulations (e.g., registration, oil changes, tire checks, service, insurance, and 5-point vehicle inspection).
    • Ensure compliance with policies for school-approved staff drivers and the use of private vehicles
    • Monitor and enforce compliance with all required school material postings (e.g., Title IX, Charter Safe, Vaping policies, Suicide Prevention, Security Cameras, Uniform Complaint Policy, COO, etc)
    • Ensure all students meet immunization requirements for school entry.
    • Process requests for insurance certificates related to school safety.
    • Collaborate with office staff and enrollment team to ensure completion of annual Student Registration process.
    • Ensure financial compliance for all vendors, including updated contracts, forms, direct certifications, requisitions, insurance, and other related documents as needed.
    • Collaborate with Human Resources for updated annual legal posters.
    • Collaborate with Human Resources to coordinate the retrieval of Bright Star Schools' belongings from terminated employees and facilitate the pickup of their personal items from campus.

    Emergency Preparedness & Safety

    • Conduct staff emergency training sessions
    • Manage emergency food and water inventory, including classroom allocations, quality checks, and expiration date monitoring.
    • Maintain and oversee school emergency supplies, including search and rescue kits, radios, walkie-talkies, EpiPens, Narcan, and first aid kits.
    • Ensure classrooms are stocked with emergency essentials such as rosters, first aid kits, evacuation maps, instructional posters, food, water, and sanitation buckets.
    • Oversee the completion of all required emergency drills.
    • Develop and maintain emergency signage in classrooms and throughout campus.
    • Collaborate with School Site Councils, first responders, and site administrators to update and refine School Safety Plans annually.
    • Update and publish the Emergency Response Handbook
    • Organize CPR training sessions, ensuring the necessary staff—such as coaches and trip leaders—receive proper certification.

    Other

    • Coordinate special projects as needed.
    • Works in collaboration with other operations staff across the organization
    • Completing any administrative duties assigned by their Principal or Admin Designee as needed.

    Physical Requirements:

    • Must be able to lift and carry up to 30 lbs regularly.
    • Ability to stand, walk, and move for up to 90% of the shift.
    • May require bending, reaching, and repetitive movements.

    Education/Training/Experience:

    • High School Diploma or GED. Bachelor’s Degree preferred.
    • Minimum 3 years of operational leadership experience, charter school setting preferred.
    • Minimum 3 years of experience managing adults and overseeing programs
    • Bilingual in English & Spanish

    What we offer:

    Salary: Competitive, starting range $81,319/year

    Status: Full Time, Exempt, 12-month (year round) position
