    SENIOR FINANCE SPECIALIST

    Salary Grade/Range: $70,000 - $80,000 per annum

    Reports to: Director of Finance

    Position Summary

    The Senior Finance Specialist plays a critical role in maintaining the accuracy, integrity, and timeliness of Path with Art’s financial data. Reporting to the Director of Finance, and working closely with the HR and Development teams, this position is responsible for ensuring accurate transaction processing, reconciliations, and recordkeeping within QuickBooks Online and in alignment with Salesforce entry.

    The Senior Finance Specialist supports the organization’s fiscal health through consistent financial tracking, system alignment, and support in preparation of clear, reliable reports that ensure informed decision-making, compliance, and audit readiness. The ideal candidate is detail-oriented, collaborative, and highly organized, with strong technical skills and a commitment to the mission of Path with Art.

    Primary Focus

    • Day-to-day financial transaction management and reconciliations.
    • Maintaining data integrity within QuickBooks Online and in alignment with Salesforce.
    • Supporting internal reporting, budgeting, and compliance.
    • Key Responsibilities:

    Revenue Entry + Records Management (40%)

    • Working closely with the Development Team, coordinate and complete data entry and uploads between Salesforce and QuickBooks Online, ensuring full alignment of revenue records.
    • Reconcile contributed and earned income monthly across systems and resolve discrepancies.
    • Process Shopify and Square sales revenue, summarizing monthly transactions for accurate posting in QuickBooks.
    • Prepare and issue invoices for contributed and earned revenue; communicate with donors and customers regarding payments as necessary and in conjunction with the Development Team.
    • Maintain electronic records of donor and revenue documentation and support Development with reports as requested.

    Expense Entry, Accounts Payable, + Records Management (40%)

    • Record vendor invoices, recurring payables, and reimbursements in QuickBooks for review and approval by the Director of Finance.
    • Maintain organized accounts payable documentation to ensure 990, audit and compliance readiness. Support tax and audit preparation and filing as necessary.
    • Oversee collection of W-9s and collection and payment completed for 1099 reporting.
    • Review Expensify reports regularly to confirm accuracy of expense documentation and categorization before transfer to QuickBooks.
    • Prepare reimbursement summaries for biweekly payroll, ensuring proper account coding and supporting documentation.

    Reporting, Bookkeeping, + Reconciliation (20%)

    • Support the monthly close process, including collection and review of staff Expensify reports, preparation of journal entries, and reconciliations for review by the Director of Finance.
    • Generate budget-to-actual, revenue, and expense reports as necessary and requested by the Director of Finance and Development Director.
    • Regularly review Statements of Activity to ensure appropriate expense and revenue categorization.
    • Work closely with the Director of HR + Operations on internal processes and completion of regular check deposits, and ensuring check payments with financial institutions and maintenance of electronic files of all related documentation.
    • Assist with audit preparation, assembling and organizing supporting schedules and financial records.

    Other Duties

    • Support special finance projects, reporting requests, or reconciliations as assigned by the Director of Finance. This includes additional responsibilities as necessary to support organizational fundraising efforts such as the Art for All Ball.
    • Maintain discretion and confidentiality in all aspects of financial data management.

    Qualifications

    • Commitment to Path with Art’s mission and values.
    • Minimum 3 years of experience in nonprofit or small business accounting, bookkeeping, or finance administration.
    • Strong proficiency with QuickBooks Online, Microsoft Excel/Google Sheets, and general accounting software.
    • Knowledge of nonprofit accounting principles, including fund and grant accounting.
    • Excellent attention to detail, accuracy, and data integrity.
    • Strong organizational and time management skills; ability to manage multiple priorities effectively.
    • Experience with Salesforce or similar CRM systems preferred.
    • Clear written and verbal communication skills.
    • Integrity, discretion, and professionalism in handling confidential financial information.
