    TITLE: Front Desk Coordinator

    DEPARTMENT: Operations

    REPORTS TO: Club Director

    COMPENSATION: $17 - $22 per hour, commensurate with experience

    SCHEDULE: Part-Time: Monday – Friday, 2:00 PM – 6:00 PM (20 hours/week)

    The Boys & Girls Clubs of MetroWest provide social, educational, physical, and cultural programming to enhance the development of youth and prepare young adults to be responsible and productive members of the community. As the first face and voice of our Marlborough Club, the Front Desk Coordinator plays a vital role in creating a welcoming, safe, and positive environment for our members, families, and staff.

    POSITION SUMMARY

    The Front Desk Coordinator is a key professional support staff member responsible for managing the front office operations during the critical after school hours. This position requires strong organizational skills, meticulous attention to detail, and a commitment to providing excellent customer service to our diverse community.

    KEY RESPONSIBILITIES:

    The Front Desk Coordinator will manage administrative tasks, membership tracking, and internal communications, focusing on efficiency and accuracy.

    1. Club & Family Support (Customer Service Focus)
      • Warmly welcome all members, parents, visitors, and staff every afternoon, setting a positive tone for the Club.
      • Act as a positive and professional liaison between staff, parents, and Club members, handling inquiries and directing individuals to the appropriate staff or program areas.
      • Answer phone calls professionally, manage general office procedures, and distribute messages in a timely manner.
      • Perform general administrative duties such as photocopying and emailing parents.
    1. Financial & Membership Management
      • Manage the membership tracking system, ensuring daily, weekly, and monthly attendance records are maintained accurately.
      • Process all financial transactions, including cash and credit card sales, for membership dues, summer programs, and other fee-based activities.
      • Record and track all payments, including developing and maintaining specialty tracking spreadsheets as required.
      • Work closely with the Finance Department to adhere strictly to all cash management policies and procedures.
    1. Administrative Operations
      • Maintain and update statistics, and ensure all required organizational paperwork (e.g., membership forms, permissions) is readily available and organized.
      • Work collaboratively with program staff to promote and advertise Club programs and activities to families and members.

    EXPERIENCE/SKILLS REQUIRED:

    • Bilingual in Portuguese is highly preferred for effective communication with members and families.
    • Proven ability to consistently maintain a high level of professionalism and confidentiality.
    • Strong technical proficiency and the aptitude for learning new membership databases or tracking software quickly.
    • Proficiency in Microsoft Office Suite, specifically Excel, Word, and Outlook (E-mail).
    • Exceptional oral and written communication skills.
    • Ability to prioritize projects and tasks effectively to ensure timely completion in a fast-paced environment.
    • Ability to think independently and demonstrate competence as a problem solver, especially in unexpected situations.
    • Constant attention to accuracy and efficiency in all administrative and financial tasks.
