POSITION DESCRIPTION

The Brooklyn Conservatory of Music (BKCM) seeks a part-time Program Coordinator to assist our Suzuki Program Director in running our robust Suzuki program. The Suzuki Program Coordinator is largely responsible for managing the day-to-day administrative tasks of the Suzuki program. This position is essential in supporting BKCM’s Suzuki team of 26 faculty and two piano collaborators, helping create a supportive learning environment for the 240 students in our instrumental program and 35 students in our Suzuki Early Childhood Education classes. The position reports to the Director.


This hybrid position has a flexible work schedule, currently 15–20 hours per week. Occasional work days in a shared office environment may be necessary at the discretion of the Suzuki Director. BKCM has shared office space available on a flexible basis if candidates prefer to work from the office. It requires between two and four hours of weekly meetings with the Program Director and other members of the BKCM administrative team, as well as communications with parents and faculty. During the enrollment cycle in the Spring, the total number of work hours, including meetings increases, and in the summer it decreases.


The position also includes working with the Suzuki Program Director to manage faculty and parents among other additional responsibilities.

SALARY: This position’s salary range is $31-$34/hour. Changes to rates, if any, occur July 1st of any given year. 


WEEKLY TASKS INCLUDE:

  • Oversee, process, and update faculty timesheets (i.e.make-up lesson scheduling, additional meeting hours) and process payroll.
  • Manage Suzuki’s financial records to assist our Finance Department
  • Data management (see specified proficiencies below)
  • Maintain and ensure the accuracy of student records
  • Maintain events calendars for families and faculty and signup processes related to such events.
  • Collaborate with the Suzuki Enrollment and Events Coordinator to create timelines, prepare programs and materials, and gather information from faculty and families concerning upcoming events. 
  • Manage all processes regarding accompaniment: maintain and update accompanist schedules including coachings, performance classes, and group classes, procure subs, and coordinate accompanist visits to lessons.
  • Provide ongoing communication with the registration team on scheduling anomalies.
  • Party planning and set up, which will require some weekend and evening hours on event dates
  • Support Suzuki Enrollment and Events Coordinator on enrollment processes including beginner enrollment. 
  • Plan, schedule, and communicate events preparation for the upcoming school year (order materials, mail merge of student schedules) 
  • Other related administrative tasks (i.e. collecting and updating our practice challenge board, ordering trophies, tidying Suzuki storage areas)
  • Coordinate drop-off/pickup with our instrument rental partners
  • Collaborate with Marketing on public-facing communications
  • Other duties and special projects as assigned 

REQUIRED EXPERIENCE

  • 1-3 years experience in a nonprofit or community music school setting (or equivalent)
  • Familiarity with Suzuki approach
  • Attend Suzuki ECC course within one year of employment if not already completed (at the expense of the Suzuki Program) https://suzukiassociation.org/teachers/training/ecc/
  • Proficient in Microsoft Office applications including Word and Excel, as well as Google Drive, Google Forms, and Google Calendar, Google Docs, ASAP Connected, Signup Genius, Canva or ability to learn these quickly 
  • Passion for music and/or arts education
  • Bachelor’s degree or equivalent experience preferred
  • Being conversant in Spanish, Italian, Chinese, Korean and/or Russian is a plus
