POSITION: Finance and Administration Coordinator 

REPORTS TO: Manager of Finance & Accounting

About the Position

Kesem seeks a Finance and Administration Coordinator to provide support for a rapidly growing nonprofit organization. The Finance and Administration Coordinator will report to the Manager of Finance & Accounting and work within the Finance and Administration department.  The Finance and Administration Coordinator must have strong attention to detail, be able to work independently, and strive for accuracy and timeliness in all job functions.

Essential Functions and Responsibilities:


Finance (90%)

  • Execute all accounts payable functions including invoice and expense report administrative review, managing the accounts payable email and vendor payments.
  • Reconciliation of bank accounts and all revenue.
  • Manage and reconcile Kesem’s corporate credit card account.
  • Manage and reconcile Kesem’s corporate staff travel and purchasing accounts (TravelPerk, Amazon Business, Enterprise, etc.). 
  • Oversee Kesem’s Expensify account.
  • Assist in the collection of Form W-9s and the production of annual Form 1099s for independent contractors.
  • Provide support during Kesem’s annual financial audit.
  • Code and reconcile all vendor bills including all benefits.
  • Troubleshoot financial information syncs between organizational systems, with support from the Manager of Data and Systems. Import financial information, when applicable.
  • Field finance-related questions from outside vendors and staff.
  • Provide monthly and quarterly reports for various stakeholders.


Administration (10%)

  • Update and maintain Financial manuals and policies.
  • Manage calendar of state nonprofit charitable solicitation filings. 
  • Manage and maintain federal and state tax filings and compliance.
  • Help support other human resources projects and other administrative projects as needed. 


Qualifications

  • A four (4) year accounting degree and/or relevant experience preferred. 
  • Excellent writing, communication, and organizational skills. 
  • Strong attention to detail.
  • Proficient with Google Drive, Microsoft Office including advanced Excel skills, and comfort learning and working with systems (e.g., Salesforce, Expensify, Bill.com, NetSuite).
  • Committed self-starter with a demonstrated history of strong work ethic and reliable task completion.
  • Previous accounting experience at a non-profit organization is a plus! 


Job Environment and Location

  • This is a full-time position.  It is expected that the responsibilities will require anywhere from 4 to 10 meetings per week, including with supervisor, team members, outside vendors, and other constituents. 
  • The Finance and Administration Coordinator will work remotely from their home office.  
  • The Finance and Administration Coordinator should expect to travel 1-2 times per year, all within the United States.


Compensation

  • The salary range for this position is $45,176 - $51,479.  Placement on this range would be based on relevant professional experience in a similar career level role.
