Position Summary:

As a member of the leadership team, the Senior Accountant reports to the President and will have primary day-to-day responsibility for planning, implementing, managing, and controlling all financial-related activities of the school. This includes direct responsibility for accounting, finance, budgeting, and risk management.

The Senior Accountant is responsible for:

  • Directing the accounting of an $8 million nonprofit
  • Budgeting and financial administration that demonstrates to fiscal reliability, health and sustainability
  • Supervising and supporting a team of staff and volunteers.
  • Ad hoc projects assigned by the President.


Please note: This position requires work to be done in person and on site.

Responsibilities:

Essential Duties 

  • Sets accounting policies and procedures within the guidelines of generally accepted accounting principles and with input from the School Board’s Finance Committee.
  • Responsible for all internal controls, which includes establishing controls and updating Accounting Policies and Procedures manual as needed to maintain internal controls and best practices.
  • Ensures all deposits are both taken to the bank and entered in QuickBooks (QB) so that the bank statement can be reconciled monthly and Management reports are kept up to date by class/department. This includes:
  • Applying payments against CWSP receivables
  • Posting monthly JEs 
  • Entering all other deposits not entered by Accounting Specialist
  • Ensuring all payments made are properly recorded in QuickBooks Online so that the bank statement can be reconciled monthly and Management reports are kept up to date by class/department. This includes:
  • Payroll JEs
  • All other ACH debits
  • Responsible for overseeing all work done by the Accounting Specialist including:
  • Ensuring all transactions are properly recorded
  • CWSP partners are properly billed
  • CWSP and Tuition collections are timely performed
  • Monitors cash flow and pays bills according to invoices entered and saved by the Accounting Specialist with oversight of proper coding to the GL according to departmental budgets and classes. Sends invoices to the President for approval and check signing.
  • Runs payroll ensuring all applicable payments are made and 403(b) payments are properly and timely submitted.
  • Monthly reconciliation of credit cards in QB based on information entered by Accounting Specialist from receipts provided by Management.
  • Responsible for providing monthly GAAP financials (BS, P&L to Budget, Cash Flow, Cash Forecast) to Management that includes all accounts in the chart of accounts for the School and CWSP with all accounts reconciled on a monthly basis (revenues earned)
  • Responsible for applying annual tuition amounts according to proper calculations to the individual student accounts in TADS, which is our tuition tracking platform.
  • Responsible for working with all departments to prepare annual budgets and maintain monthly reporting to present budget to actuals to Departments as well as Management during the year including details of grant funding and spending.
  • Coordinates the annual audit preparation and presents audited statements 
  • Monitors and oversees insurance needs and risk management for the school. In consultation with the school’s insurance provider, determines sufficiency of property and liability coverage.
  • Responsible for reporting and oversight of various governmental programs for funds as opportunities arise.
  • Coordinates all financial reporting information with the School Board and its Finance & Audit Committee
  • Coordinates with Development for donor forecasting, pledges, and invoicing.
  • Performs special projects and other duties as assigned by the President


Minimum Requirements:

  • Bachelor’s Degree required, Master’s Degree preferred
  • School or Not for Profit accounting experience preferred
  • At least 7-10 years professional experience; ideally 6+ years of financial management experience.
  • Bilingual (Spanish) strongly preferred
  • Strong written and communication skills; detail oriented; team player; ability to multitask in a fast-paced environment
  • Relentless focus on results and a high level of personal accountability
  • Extensive knowledge of QuickBooks, Excel, and accrual accounting practices.
  • Adept at building rapport and trust with people from diverse socio-economic and cultural backgrounds, including underrepresented youth and first-generation college students.
