    The Opportunity:

    As OPB looks to deepen its connection to communities across Oregon & Southwest Washington, it also seeks to grow its creative and dynamic audience engagement team. The Engagement & Events Coordinator is an individual who will work to support the Engagement & Events team, as well as fostering cross-departmental and partnership relationships to develop exciting, thoughtful, and high-quality events related to OPB's content. The person OPB is seeking for this role is deeply organized, has a passion for audience-driven events, and has an appreciation for OPB's content.     Position Summary:

    The Engagement & Events Coordinator is an organized, enthusiastic professional who will play a crucial role on OPB’s engagement initiatives team. They will be responsible for supporting the execution of our engagement initiatives, partnerships, and events with systems for project management, excellent communication, team coordination, and logistical support. This role will work directly with the Senior Event & Partnership Associate and Director of Strategic Engagement & Events to support documentation and operations, organization, project management, and day-of support for OPB’s engagement initiatives.

    The Engagement & Events Coordinator will be an organization and planning expert, able to facilitate collaboration involving multiple teams, and able to balance multiple project timelines simultaneously. Other tasks include supporting organizing meetings, coordinating with vendors, managing tickets for events, and communicating with partners throughout a project timeline. They will support OPB’s event outreach efforts and report feedback, and will support the Senior Event & Partnership Associate in preparing for upcoming events, including drafting agreements and contracts, and working directly with OPB’s legal and accounting teams to ensure smooth and efficient operations.

    They will work closely with the Director of Strategic Engagement & Events to manage the team’s portfolio of partners and relationships to further OPB’s strategic engagement vision in partnership with the community connections team, putting our audiences at the core of how and why we do our work. The ideal candidate understands the importance of organization and operationalization to move with ease through work. They will have the opportunity to directly influence and shape our team’s systems for efficiency and impact.

    As with all roles at OPB, the Engagement & Events Coordinator will fulfill all responsibilities through the lens of OPB's mission and values.

    Areas of Responsibility:

    75% - Support the execution of our engagement initiatives, partnerships, and events.

      • Manage engagement initiative projects using Aha! project management tool, including moving tasks forward, tagging users as needed, and communicating delays and changes as needed to the director of strategic engagement initiatives.
      • Work closely with the Senior Event & Partnership Associate and OPB’s marketing team to ensure schedules for engagement initiatives are accurate and align with the overarching project objectives.
      • Collaborate with the Senior Event & Partnership Associate and Corporate Support teams to realize and organize for sponsor benefit implementation
      • Develop community outreach documents of organizations to invite and partner with for OPB’s engagement initiatives.
      • Develop communications as needed for the engagement initiative team, including community outreach, vendor, partner, and volunteer communications.
      • Maintain OPB’s event and engagement initiative calendars, including but not limited to: OPB’s event webpage and Programming and Audience Engagement team calendars.
      • Develop and manage an evergreen directory of partners, vendors, and contacts related to OPB’s engagement initiatives.
      • Maintain ongoing partnership with the director of marketing, creative services manager and marketing team members to ensure streamlined processes for marketing and graphic needs around engagement initiatives and execution of Corporate Support sponsor benefits.
      • Support drafting of agreements and contracts and collaborate with the marketing, legal, and finance teams as needed to ensure execution and clear processes.

    15% -

      • Support scheduling for the Director of Strategic Engagement and Events for both internal and external meetings with diverse groups of stakeholders.
      • Collaborate with the audience intelligence strategist on developing, tracking and updating engagement initiative data.
      • Develop and support organizational systems for OPB’s engagement initiatives, including creative solutions for metrics-based success and objectives.
      • Support day-of event production and execution as needed.
      • Support engagement initiative platform team logistics and organization.
      • Support team supply inventory and place orders as needed.

    10% - Other duties as assigned, including but not limited to:

      • Supporting event and engagement coordination
      • Collaborating with the Community Connections Manager
      • Other administrative tasks as assigned.

    Reports to: Director of Strategic Engagement & Events

    Working Conditions:

      • This role has the potential to be mostly remote, but it is expected that this person would be on site either at OPB Headquarters or at event sites as needed. With that in mind, our preference is that this person lives in the Portland/Vancouver area.
      • This position typically works Monday through Friday, though some weekend and evening work is required as needed for events. If events take place in evening hours after 5pm or on weekends, time off will be made up during regular business days and hours as needed.
      • Lifting/carrying/moving equipment up to 50 pounds is sometimes required.
      • Regional travel to occur quarterly at minimum. This frequency could increase in the future.
      • Able to stand and walk for the duration of events (including set up and tear down), which can last up to 6 hours.

    Minimum Position Requirements (Knowledge, Skills, Abilities and Attitudes):

      • Minimum of two years progressive experience working on event and engagement operations and organization.
      • Demonstrated experience in project management, team coordination, and data analysis.
      • Demonstrated experience drafting both internal and external communications for a variety of stakeholder types.
      • Demonstrated experience working with a variety of stakeholders, including vendors, partner organizations, and multiple internal stakeholders.
      • A test-and-learn mentality when approaching event organization and project management.
      • Holistic audience-first outlook of organizational engagement strategy.
      • A strong commitment to OPB’s public service journalism and community impacts.

    Preferred Position Requirements (Knowledge, Skills, Abilities and Attitudes):

      • Experience with ticketing and event platforms such as Eventbrite, Webex, etc.
      • Experience with venue and partner relations.
      • Experience drafting and executing event budgets, agreements, and contracts.
      • Strong computer skills, preferably in Microsoft Office and project management tools.
      • Bilingual in English and another language, preferably one spoken in communities in the. Pacific Northwest (for example, Spanish, Mandarin, Cantonese, Vietnamese and Russian).

    Additional Information:

      • The hiring range for this role is $24.86 - $26.50/hr depending on qualifications.
      • This is a regular, unrepresented, non-exempt, full-time position.
