    POSITION SUMMARY

    The Human Resources & Payroll Specialist serves in a hybrid role supporting both Human Resources and Payroll/Benefits operations for Nonprofit Resources and its client organizations. This position is approximately 50% Human Resources coordination and administration and 50% payroll, benefits, and HR generalist functions.

    The ideal candidate is highly organized, detail-oriented, adaptable, and capable of managing sensitive employee information with professionalism, discretion, and accuracy. This role requires experience processing payroll for large employee populations, supporting employee benefits administration, maintaining HR records, and assisting with a variety of employee lifecycle activities.

    Success in this role requires the ability to remain calm and professional while managing competing priorities, navigating complex situations, and consistently meeting deadlines. The successful candidate will demonstrate strong critical-thinking and problem-solving skills, exceptional attention to detail, and the ability to transition effectively between multiple tasks, client organizations, and responsibilities without sacrificing accuracy or service quality.

    The Human Resources & Payroll Specialist will work collaboratively with internal teams, client organizations, employees, and external partners to ensure accurate payroll processing, positive employee experiences, regulatory compliance, and efficient HR operations. The ability to communicate professionally, courteously, and confidentially is essential.

    PAYROLL & BENEFITS DUTIES

    Duties may include, but are not limited to:

    • Process and oversee payroll for 200+ employees across one or more organizations.
    • Administer and support multi-state payroll processing and compliance.
    • Review payroll data for accuracy, completeness, and compliance with company policies and applicable laws.
    • Investigate and resolve payroll discrepancies, employee concerns, and complex payroll situations.
    • Process employee status changes, including new hires, promotions, transfers, compensation changes, leave events, and terminations.
    • Maintain employee payroll records and ensure data integrity.
    • Support payroll tax reporting, wage reporting, and related compliance activities.
    • Coordinate employee benefits eligibility, enrollments, qualifying life events, and terminations.
    • Serve as a resource for employee payroll and benefits questions.
    • Assist with annual open enrollment activities.
    • Reconcile benefit deductions and payroll-related reports.
    • Work with insurance carriers, brokers, retirement plan providers, and other vendors as needed.
    • Support leave administration and employee benefit programs.
    • Assist with payroll and benefits audits.
    • Develop and maintain payroll and benefits procedures and documentation.
    • Maintain confidentiality of employee compensation and benefits information.

    HUMAN RESOURCES DUTIES

    Duties may include, but are not limited to:

    • Help manage and monitor human resources functions for internal and client team members.
    • Support employee relations initiatives and help cultivate a positive workplace culture.
    • Maintain secure and accessible HR records, employee files, and tracking systems.
    • Track and maintain PTO requests and other employee leave records.
    • Assist with recruiting activities, including job postings, candidate communication, interview coordination, and onboarding support.
    • Coordinate new hire documentation and onboarding activities.
    • Assist with employee training initiatives and Learning Management System (LMS) administration.
    • Maintain HR policies, procedures, handbooks, and related documentation.
    • Assist with employee performance review processes and check-in meetings.
    • Support employee investigations, disciplinary actions, and termination processes as needed.
    • Monitor employee timekeeping records and communicate concerns appropriately.
    • Prepare and maintain records related to HR matters.
    • Provide timely, professional, and confidential support to employees and leadership.

    REQUIRED QUALIFICATIONS

    • Minimum of 3 years of payroll processing experience.
    • Experience administering multi-state payroll.
    • Experience managing complex payroll situations, including deductions, garnishments, payroll corrections, leave administration, and compliance matters.
    • Experience administering employee benefits programs.
    • Strong analytical, organizational, and problem-solving skills.
    • Demonstrated ability to manage multiple priorities, deadlines, and responsibilities in a dynamic environment.
    • Experience maintaining accuracy and attention to detail while handling high-volume payroll and HR transactions.
    • Strong written and verbal communication skills.
    • Ability to exercise sound judgment and maintain confidentiality.
    • Proficiency with Microsoft Office and online business platforms.
    • Experience using ADP payroll systems or comparable payroll software.

    PREFERRED QUALIFICATIONS

    • Bachelor's degree in Human Resources, Business Administration, Accounting, Finance, or a related field. Equivalent experience may be substituted for education.
    • Demonstrated experience processing payroll for 200+ employees.
    • Human Resources Generalist experience.
    • Experience working with nonprofit organizations.
    • Experience supporting payroll, human resources, benefits administration, or employee services for multiple client organizations or business entities simultaneously.
    • Experience with ADP Workforce Now or other ADP platforms.
    • Experience using Gusto payroll and HR systems.
    • Experience using QuickBooks.
    • Experience supporting remote or distributed workforces.
    • Experience administering medical, dental, vision, retirement, and leave benefits.
    • SHRM-CP, PHR, CPP, FPC, or similar certification.

    WORK ENVIRONMENT

    We are a collaborative, remote organization that supports nonprofit clients across multiple locations. This role requires strong independent work habits, responsiveness, professionalism, and the ability to effectively support multiple client organizations simultaneously while managing competing priorities and delivering exceptional service to employees and clients.

    The successful candidate must be comfortable working in a dynamic environment that requires frequent transitions between client matters, payroll cycles, HR projects, and employee support needs while maintaining accuracy, confidentiality, and adherence to deadlines.

    Airline travel may be required approximately 1–2 times per year for team meetings, training, client support, or other business-related activities.

    ADDITIONAL RESPONSIBILITIES

    • Participate in special payroll, benefits, and human resources projects.
    • Support process improvement initiatives and system implementations.
    • Assist with compliance reviews and audit-related activities.
    • Maintain accurate documentation and digital records.
    • Attend staff meetings and prepare requested information.
    • Perform other duties as assigned.
