    Brava is at a critical juncture where it is growing its capacity to meet the needs of our expanding client base. We need a full-time, seasoned employee to serve in a combined Senior Executive Administrator and Operations Lead role, whose primary responsibility will be the effective management of the Founder and CEO's time and firm-wide operations in a high-demand environment.

    WHAT YOU BRING

    Required Skills and Experiences

    • C-Suite Experience: Proven track record supporting high-level executives in fast-paced environments. Prior CEO-level support strongly preferred
    • Technical Proficiency: Expert-level use of the Google Suite, Asana, Expensify, Zoom, and digital knowledge management.
    • High EQ: A "compassionate accountability" mindset—reliable, trustworthy, and emotionally intelligent.
    • Discretion: Holds client and internal information with highest levels of confidentiality and discretion
    • Entrepreneurial Spirit: You love building systems from the ground up in "startup" environments.
    • Detail Orientation: Highly organized with excellent attention to detail
    • Strategy and Systems orientation: Strategic approach to calendaring and project management and an ability to spot and address needed systems solutions
    • Excellent communicator and able to interface professionally with medical providers, clients, and business contacts

    Helpful Skills and Experiences

    • Disability Advocacy: Experience supporting an executive with a chronic illness
    • Healthcare Fluency: Background in patient advocacy or healthcare coordination.
    • Sector Knowledge: Familiarity with the nonprofit, social justice, and/or consulting sectors.

    ABOUT THE OPPORTUNITY

    This is not a traditional Executive Assistant role.

    We are looking for a seasoned professional to serve as a combined Senior Executive Administrator and Operations Lead. This high-impact role functions as a strategic operational partner to Brava's Founder and CEO while helping steward the systems, relationships, and infrastructure that keep the organization running smoothly.

    You are the architect of the environment that allows our mission to flourish. This role includes executive support, project management, healthcare coordination, people operations, and organizational administration. On any given day, you might coordinate a medical appointment, prepare materials for a client engagement, organize a team retreat, improve an internal process, troubleshoot a technology issue, or help the CEO navigate competing priorities.

    Some people find this variety energizing. Others find it exhausting. We are looking for someone who enjoys wearing multiple hats and finds satisfaction in helping people, systems, and priorities move forward with an entrepreneurial mindset.

    Because Brava is a small team, this role touches several functions that might be separate departments in a larger organization. Success requires both strategic thinking and meticulous execution, as well as a genuine appreciation for the behind-the-scenes work that allows leaders and organizations to do their best work.

    WHAT YOU’LL OWN

    Strategic Schedule, Email, & Workload Management (30%)

    • Manage the CEO's week-to-week schedule, balancing strategic priorities, day-to-day changes, and long-term sustainability of the CEO role while accommodating a physical disability
    • Manage the CEO's email inbox, drafting communications, elevating priority tasks, tracking organizational relationships, and ensuring timely responses to all high-priority correspondence
    • Ensure the CEO’s time is being prioritized with a lens to her schedule, client needs, and overall health/energy
    • Organize digital files, reports, and processes in accordance with Brava's knowledge management protocols

    Project Management & Client Delivery (30%)

    • Support CEO’s client engagements by tracking progress against deliverables
    • Support meeting prep and follow-up, including drafting correspondence
    • Document important client information (birthdays, special circumstances, preferences) and leverage it for stronger client management and engagement
    • Schedule client meetings and serve as a logistical point of contact
    • Join client meetings as needed to support project delivery including managing Zoom technology and capturing action items
    • Support delivery of Brava’s programming through remote support, in collaboration with Brava team members

    Healthcare Coordination (20%)

    • Track long-term and short-term healthcare priorities in collaboration with the CEO
    • Schedule medical appointments in alignment with those priorities
    • Navigate insurance processes, including coordination when issues arise
    • Manage prescriptions, including those requiring prior authorization
    • Forecast and plan for daily, weekly, and monthly health needs

    Systems, Operations, and Culture (20%)

    • Ensure all team members are onboarded to team-wide technology applications
    • Maintain and organize knowledge management systems, ensuring information is stored, findable, and properly archived
    • Forecast any subscription and budget changes that may need to happen as the team grows
    • Manage personnel files keeping the files up-to-date - including offer letters, job descriptions, and performance reviews
    • Manage organizational benefits - work with firm partners to select plans (e.g., healthcare coverage and 401k offerings), interface with brokers, and implement roll-out and selections
    • Organize in-person gatherings, such as team and program retreats, including reserving venues, coordinating meals, and managing logistics
    • Steward virtual team building by tracking birthdays and key milestones for individual and collective celebration

    Schedule:

    Approximately 40 hours/week (natural weekly fluctuations expected); required office hours are 10am–5pm PST; evening work may be needed on occasion during in-person convenings

    Location:

    Primarily Remote with required travel to Los Angeles (or other locations TBD) 4 - 6 times per year

    Los Angeles area candidates preferred in order to co-work with principals on a monthly basis (not required for candidates outside of metro LA)

    Candidates must possess verifiable legal authorization to work in the U.S.

    Salary Range:

    $90k - $100k

    Employment Type:

    Full-Time, exempt employment with a 90-day probationary period

    Benefits:

    Fully covered Health Insurance for any California-based staff and a health stipend for anyone located outside of California, 401k program, generous PTO and Sick Leave policies, minimum three weeks of office closures across the summer and the winter holidays, and observance of federal holidays
