Part-Time Contract Operations & Fulfillment Coordinator (Contract)

Location: Chicago, IL (Remote + Monthly In-Person on Northwest Side)

Compensation: $30/hr, maximum of $1,200/month (Contract, 40 hours/month maximum)

Schedule: Flexible remote hours; deadline-based. Monthly in-person fulfillment day required.

About the Role

We are seeking a highly organized, detail-oriented Operations & Fulfillment Coordinator to support two growing businesses:

Spectrum – A consulting firm serving nonprofit and mission-driven organizations

One Girl Inspired – A tween-focused subscription box brand centered on creativity and confidence

This is a structured, execution-focused role designed to support a founder by ensuring operational tasks are completed accurately and on time.

This role follows established systems and standard operating procedures. It is designed for operational execution rather than strategic planning.

The ideal candidate thrives on checklists, enjoys keeping things organized, and takes pride in following through.

Scope of Work

Spectrum (Consulting Firm Operations): ~15 hours a month

• Conduct weekly review of contractor time entries and follow up on missing hours
• Prepare and send monthly client invoices
• Process contractor payments on scheduled cadence
• Track and organize business expenses and receipts
• Calendar scheduling support
• Maintain engagement follow-up reminders and tracking
• A few calls to confirm details or request information.
  • Examples:
    • Call Comed and confirm account number.
    • Call after school program to confirm availability.

One Girl Inspired (Product, Marketing & Fulfillment Operations): ~25 hours a month

• Communicate with vendors and track product orders to ensure timely delivery
• Maintain and update inventory database
• Track and organize expenses and receipts
• Update sales platform with new product information (per SOP)
• Conduct targeted product research within defined themes, budgets, and timelines
• Make light website and sales platform edits (product listings, copy updates, images)
• Execute social media posting schedule (content direction provided)
• Assist with basic comment and DM responses (per brand guidelines)
• Track and organize business expenses and receipts

Note: Social media responsibilities are execution-based and follow defined brand direction. This role does not include strategy development or campaign planning.

Hourly allocation will shift based on sales cycle of One Girl Inspired.

Fulfillment & Local Support (In-Person – Monthly)

• Complete monthly subscription box packing
• Complete monthly mail drop-off
• Maintain product organization and workspace order
• Lift up to 25 lbs and carry items up stairs as needed

A reliable personal vehicle is required for monthly mail drop-off.

In-person hours will be scheduled in advance and coordinated based on availability.

Work Structure

• 40 hours per month maximum
• Flexible remote schedule; work must be completed by agreed deadlines
• In-person support approximately once per month
• Hours tracked and reviewed monthly
• Quarterly scope and performance review

This is a contractor role.

Must haves:

• It is required that you know how to use a computer.
• It is required that you are able to troubleshoot technical issues.
• It is required to know how to use all Google Suite products.
• It is required to be able to lift at least 25 lbs and use stairs for transport.
• Are based in the Chicago area
• Have reliable access to a personal vehicle that can fit up to 80 small boxes
• Are extremely detail-oriented and organized
• Follow systems and SOPs precisely
• Communicate clearly and professionally
• Are comfortable working independently
• Enjoy operational support work
• Are reliable and deadline-driven
• Prefer structured execution over strategic leadership
• Willing to submit a background check prior to onboarding
• It is required to maintain confidentiality and be willing to sign an NDA regarding financial information and personal details

Preferred (but not required):

• Experience with Airtable, Google Workspace, QuickBooks, Canva, or similar tools
• Experience supporting a small business or founder
• Experience with e-commerce or subscription businesses
• You have worked as a contractor full time
• You have worked with mission driven organizations

This Role Is Not

• A strategy or leadership position
• A marketing director role
• A financial analyst position
• A full-time position

It is a structured operational support role designed to maintain smooth execution across two growing businesses and support the CEO.

We will provide a laptop and phone for this role. The items must be returned upon completion of contract. This is an ongoing contract with the hope of increasing to full time in 2027. Note the full time role will require increased marketing strategy and leading the entire fulfillment process.

30 Minute Phone Interview with CEO

• We will focus on your operational abilities, familiarity with technology, project and task management, and confirmation of requirements.

Task Assignment

• The Task will be around technology troubleshooting and common issues with the fulfillment process. The assignment should not take more than 1 hour to complete

1 Hour In-Person Interview with CEO

• We will focus on your work style and values, discuss the task, getting to know each other, we will also look at the current product and shipping process.
• Please note that fulfillment does occur in my home so this will be a highly selective process prior to this step.
