About Lumos Transforms
Lumos Transforms is a US-based social enterprise advancing trauma-informed, embodied approaches to resilience, healing, and systems transformation. Our work integrates nervous system science, collective care, and structural analysis to support sustainable change across healthcare, education, arts, and social movement ecosystems.
We operate with a collaborative, relational, and learning-oriented culture. Staff are expected to communicate capacity needs, flag any risks early, and support sustainable team functioning through clear and timely communication.
The role
We are hiring one part-time Administrative Assistant to support operations across two program streams: our Community Programs and our Facilitator Certification Programs.
This is a hands-on, people-facing and systems-oriented role that supports participant and facilitator experience, program coordination, digital platforms, and event logistics. The role is shared across both program areas and works closely with program staff to ensure reliable execution of day-to-day operations. This role also supports continuity of participant experience across registration, onboarding, live session participation, and post-program follow-up.
In-person support is infrequent and limited to events in the Los Angeles area.
What you will do
- Support day-to-day program operations for community and certification programs, including participant and facilitator communications, scheduling, and session logistics, following documented operational workflows and verification steps for all participant-facing communications and session setup.
- Coordinate meetings, trainings, and events; manage shared calendars; and set up and support virtual sessions
- Maintain accurate program listings and learning spaces across websites and community platforms
- Support setup and maintenance of course and cohort spaces
- Maintain program databases and operational tracking systems
- Prepare basic usage and engagement reports and support evaluation workflows through data cleaning and preparation for analysis
- Maintain digital records and operational documentation and provide meeting notes as needed
- Provide logistical and technical support for virtual and (infrequently) in-person programs and events in the Los Angeles area
- Contribute operational insight, flag issues and risks, and support continuous improvement of systems and workflows
- Participate in collaborative problem-solving and generative conflict engagement as part of daily work
Who we’re looking for
You may be a strong fit if you:
- Enjoy engaging with participants, facilitators, and community members and bring warmth, clarity, and care to public-facing communication
- Are enthusiastic about supporting learning spaces and community-centered programs, not only administratively but relationally
- Are highly organized and comfortable managing multiple calendars, platforms, and workflows at once
- Can follow established systems with consistency while also noticing gaps, breakdowns, and opportunities for improvement
- Are reliable, detail-oriented, and able to carry delegated work through to completion
- Are aligned with Lumos Transforms’ values and mission, including commitments to equity, collective care, and trauma-informed and embodied approaches to social change
- Are comfortable working in a collaborative, non-hierarchical environment that includes shared responsibility, feedback, and generative conflict processes
- Are based in, or able to reliably travel within, the greater Los Angeles area for occasional in-person events
Tools and work environment
We work in a Mac-based environment and use Google Workspace, Asana, Slack, Zoom, and community platforms (including Mighty Networks). Familiarity with these tools is preferred; limited training is provided.
