    Position Overview

    The Grants Administration Manager reports directly to the Development Manager. The Grants Administration Manager oversees the administration and compliance of partner-centered grantmaking and regranting processes across the organization. This role involves administering and enhancing systems for due diligence, compliance, and reporting. The Grants Administration Manager plays a key role in working closely with nonprofit partners to ensure adherence to grant requirements and effective data collection. The ideal candidate brings a deep understanding of funding models, grant and regrant compliance, due diligence, and a proactive approach to partner support and infrastructure building. This role collaborates closely with internal teams, including finance, legal, and program staff, as well as external partners, to ensure the smooth and timely execution of grants. The ideal candidate is detail-oriented, process-driven, and committed to operational excellence, playing a key role in maintaining the integrity and effectiveness of organizational funding practices.

    Compliance and Due Diligence (40%)

    • Lead the development of a robust compliance framework that supports grantmaking and regranting.
    • Stay current on U.S. and international regulations, as well as internal policies.
    • Collaborate closely with internal stakeholders (e.g., finance, legal, program staff) and partners to ensure seamless and compliant operations.
    • Work with partners to conduct pre-award due diligence to ensure grants meet legal and policy requirements.
    • Provide guidance to staff and partners on regulatory expectations and compliance best practices.
    • Work with Legal to uphold and operationalize legal policies while seeking opportunities to improve and refine the compliance process and related legal issues.

    Partner Support (30%)

    • Serve as a key point of contact for partner training and orientation on grant policies and compliance requirements.
    • Support partners in navigating international regranting, including providing tailored risk assessments and guidance.
    • Facilitate training sessions, office hours, and resource development to build partner capacity and confidence.
    • Ensure that tools, templates, and systems are available and accessible to support compliant regrant execution.
    • Solicit feedback and create mechanisms for partners to share ideas for improving grants processes, resources, and systems, and incorporate input into continuous improvement efforts.
    • Build and maintain external relationships to stay informed of and share sector best practices.

    Development Operations Support (5%)

    • Provide support to the Development Operations team as needed.
    • Contribute to special projects and emerging needs across teams in line with the organization's evolving priorities.

    Reporting & Monitoring (10%)

    • Manage systems for tracking grant status, compliance, and reporting obligations.
    • Regularly report to internal teams on regranting activities, risks, and compliance status.
    • Maintain clear documentation for audits and internal accountability.

    Systems and Tools (15%)

    • Maintain and improve systems to ensure accurate data entry, reporting, and workflow support.
    • Work with IT to troubleshoot issues and prioritize system enhancements.
    • Ensure systems are aligned with compliance needs and are user-friendly for partners.
    • Support onboarding and training on grantmaking systems, tools, and templates.
    • Execute change management by coordinating with partners and internal teams to implement process improvements, system upgrades, and new tools.

    Required Qualifications

    • 2 to 5 years of relevant experience in grants administration, compliance, or a related field.
    • Demonstrated ability to manage multiple requests and competing priorities, with strong organizational and time management skills.
    • Strong communication and customer service skills, with the ability to translate complex legal or regulatory information for diverse audiences.
    • Familiarity with fiscal sponsorship structures and compliance considerations
    • Highly detail-oriented, with confidence in working with data, proofreading documents, and identifying inconsistencies.
    • Experience with project management, designing, and improving workflows.

    Preferred Qualifications

    • Experience designing and delivering trainings a plus
    • Experience with Airtable or other databases a plus
    • Experience working in social justice, movement building, or grassroots funding environments a plus

    Work Environment / Physical Demands

    This position is remote with a requirement to travel to the Bay Area regularly (approximately 4 times per year). Candidates based near Oakland will be expected to work a hybrid schedule of 2 days in-person / 3 days work from home. Must be able to work on a computer including sitting at a desk for extended periods of time with or without reasonable accommodation; manual dexterity to operate a keyboard; able to see or read a computer screen and printed material with or without vision aids; able to speak clearly and in audible tones on the phone and in-person and be understood by others; able to hear and understand speech, including on the phone; able to understand and follow oral and written instructions; able to occasionally lift objects weighing up to 10 pounds, etc.

    Employment Terms

    This position is full-time, and has an estimated annual salary range of $75,000 - $90,000. We offer a competitive health benefits package that includes: medical, dental, vision, and a generous paid time off schedule.
