We’re looking for an Office Coordinator to join our team.
About the Role
As Office Coordinator, you’ll manage our new D.C. office, support colleagues with travel and administrative needs, help plan and execute internal meetings and gatherings, and contribute to hiring and onboarding as our team grows.
This role calls for someone who is organized, personable, proactive, and excited about building a welcoming, high-functioning office environment. It isn’t a back-seat role—you’ll be at the center of the day-to-day operations that keep our team moving. It’s a great way to get your foot in the door of a young and growing independent media business.
Office Management & On-Site Operations
- Oversee daily office operations, ensuring the D.C. office is welcoming and running smoothly.
- Manage office supply inventory (kitchen, snacks, general supplies) and proactively reorder as needed.
- Coordinate with building management and serve as the on-site point person for visitors, deliveries, building access, and vendor relationships.
- Track inventory of laptops, microphones, cameras, and other equipment; coordinate replacements as needed.
Meeting & Event Coordination
- Assist with planning and executing internal meetings, staff gatherings, and occasional offsites.
- Provide administrative support, including travel arrangements, itinerary planning, and logistics.
- Coordinate visitor logistics—visitor lists, meeting rooms, schedules, refreshments, and day-of support.
- Reconcile credit card statements and expense reports.
People Operations
- Support onboarding logistics for new hires (orientation schedules, welcome materials, office setup, technology).
- Learn and maintain our applicant tracking system and help train others to use it.
- Jump in on general administrative tasks that help a nimble team operate effectively.
About You
You bring:
- Bachelor’s degree or equivalent professional experience.
- Interest in The Bulwark’s work and mission.
- A welcoming, professional presence and an interest in contributing to a collaborative team culture.
- Excellent communication and interpersonal skills—you enjoy helping people and setting a positive tone.
- Strong organizational skills with the ability to manage multiple moving pieces in a fast-paced environment.
- Comfort with digital tools such as Google Workspace and Slack, plus a willingness to learn new systems.
- Interest in HR or People Operations as a potential growth path.
- Experience in operations, administrative support, hospitality, or office management (or a strong readiness to learn).
This role is based in Washington, DC, where our team works together in person five days a week. We’re mission-driven, collaborative, and direct—and we value people who bring ideas and energy to the table.
