    About AVP New York

    Alternatives to Violence Project New York (AVP NY) is a nonprofit organization dedicated to reducing violence and building healthy communities through experiential workshops that emphasize affirmation, communication, cooperation, conflict transformation, and personal growth.

    For decades, AVP New York has brought its programs to correctional facilities, community organizations, schools, and other settings throughout New York State. Through volunteer facilitators and collaborative learning, AVP empowers participants to develop practical tools for transforming conflict and creating safer, more compassionate communities.

    AVP NY is currently seeking an Office Administrator to support this important work

    Position Summary

    AVP New York is looking for a detail-oriented, self-directed Office Administrator with a strong commitment to social justice and the work of AVP NY.

    This role oversees the day-to-day administration and operations of AVP/NY, including communications, recordkeeping, financial administration, reporting, meetings, and organizational support. The position also works closely with the Board to support fundraising, expand the organization’s funder base, and ensure AVP NY’s programs and operations effectively support facilitators, participants, and partners across New York State.

    Key Responsibilities

    Correspondence & Communications

    • Respond to email, phone, and mail inquiries
    • Interface with volunteers and Department of Corrections and Community Supervision (DOCCS)
    • Conduct outreach including newsletters, website, and social media postings
    • Fulfill orders for manuals, certificates, and program materials for facilitators and area councils

    Database & Reporting

    • Compile the annual comprehensive program report and statistics
    • Draft an annual summary of AVP/NY's activities and challenges
    • Manage and update mailing lists across newsletter, fundraising, and volunteer audiences
    • Maintain accurate program and participant records

    Bookkeeping & Financial Administration

    • Process bills and donations and send donor acknowledgements
    • Handle weekly deposits and monthly reconciliations
    • Create periodic financial reports for the Board
    • Support annual budgeting and periodic financial reviews with the Treasurer
    • Support annual tax filings and nonprofit transparency reporting

    Meetings & Events

    • Attend all board meetings and Executive Committee meetings
    • Support and attend the Annual Gathering, including registration coordination

    Fundraising

    • Develop new fundraising strategy, with the support of the board
    • Expand current funder base
    • Research funding sources

    Other duties as needed

    Qualifications

    • Strong organizational skills and attention to detail
    • Strong written and verbal communication skills
    • Experience with or willing to learn: Google Drive, Quickbooks, Airtable, Canva, Idealist.com, social media, website maintenance
    • Independent worker who takes initiative and demonstrates resourcefulness and integrity
    • Ability to collaborate and ask for help when needed
    • Ability to coordinate across diverse partners with different cultures, processes, and backgrounds
    • Alignment with the values and culture of Alternatives to Violence Project
    • Commitment to equity and justice, including support for the formerly incarcerated
    • Live in New York State
