    Title: Operations Manager

    Salary: $75,600K- $85,000k

    Job Summary:

    Reporting to the Senior Director of Finance, HR, and Operations, the Operations Manager will be responsible for ensuring the day to day operations of Equitable Growth run smoothly and efficiently. This person will strengthen and streamline the organization’s internal functioning by applying best practices and identifying opportunities, challenges and solutions across departments. This position is required to be in office at minimum of two days per week.

    Duties/Responsibilities:

    Office Management

      • Maintain vendor relationships and service contracts (e.g. facilities, insurance, technology)
      • Organize and manage the storage of all printed literature, reports, etc.
    • Manager office storage and make recommendations on office needs.
    • Point of contact for staff on all facilities and conference room related needs.
    • Proactively contact landlord to address any office space or communal supplies issues.
      • Initiate orders and stock office supplies.
      • Sort and distribute mail on a weekly basis.
      • Create and maintain standard operating procedures for office.
      • Regularly communicate with all staff regarding business operations and space.

    Technology

    • Facilitate training and education of employee uptake and use of technology platforms.
      • Serve as “super user” for most technology platforms, helping staff stay up to date and facilitate their best and secure use of the medium.
    • Serve as lead expert for technology in events space and conference rooms.
    • Serve as main point of contact for staff on Salesforce needs and supports day to day functionality of system.
    • Serve as point of contact for IT Managed Service Provider, leading coordination and monitoring completion of issues through an online ticketing system.
    • Manage access to organizational technology platforms such as Salesforce, Slack, Dropbox, AmTrav, Zoom, room reservation system, and staff calendar.
      • Ensure that all needed logins, technology interfaces, and trainings are completed for a smooth employee introduction and integration into Equitable Growth.
    • Implement technology replacement schedule.
    • Work with HR and the IT Managed Service Provider by assisting in the onboarding process for new employees, including setting up workspaces, equipment, and accounts.
    • Maintain organizational procedures around technology and telecommunications.
    • Implement technology aspects of AI policies.

    Administration

      • Maintain electronic filing system and structure (currently DropBox).
      • Process accounts payable including invoices, honoraria, commissions, and grant payments.
      • Support contract development and dissemination.
    • Manage organizational compliance with all state business registrations.
      • Support webinar logistics by acting as an organizational backup.
      • Provide support for meetings with external partners including materials preparation and room set up.
      • In collaboration with other staff members, plan staff happy hours, social events (order food & beverages, make reservations, etc.) and retreats.
      • Take notes and track deliverables from management-labor meetings as requested
      • Provide ad hoc administrative support to all teams.
      • Make recommendations to improve workflows and operational efficiency.
      • Perform other duties as assigned

    Required Skills/Abilities:

    • Excellent organizational and time-management skills; creativity in streamlining processes and solving problems.
    • Entrepreneurial mindset and proven track record of implementing systems and process.
    • Keen attention to detail and ability to complete financial data entry accurately and in a timely manner.
    • Effective writing and verbal communications skills.
    • Strong work ethic with demonstrated ability to consistently meet deadlines.
    • Skillful interpersonal skills and a demonstrated ability to work with teams across the organization to achieve results, as well as ability to work independently.
    • Work effectively on multiple projects with multiple deadlines simultaneously.
    • Manage projects from start to finish.
    • Present in the office at minimum two days per week (hybrid schedule).

    Education and Experience:

    • Minimum 3 years of experience in nonprofit operations, administration, or a related role.
    • Proficient in tools like BILL or other related payment systems, Microsoft Office Suite, Slack, DropBox, Zoom, and SalesForce.

    Physical Requirements:

    • Must be able to lift 30 pounds, bend at the knees; sitting/standing at workspace for extended periods of time
