    Position: Executive Assistant

    Program: Administrative Office

    Reports to: Executive Director

    Compensation: $80,000-$100,000 annual salary commensurate with experience. Full-time, exempt position. Benefits include medical, dental, vision, long-term disability, life insurance, flexible spending account, commuter benefits, wellness stipend, paid sick leave, paid holidays and Summer & Winter Recesses (27 days total), generous vacation, and 401(K) with employer matching.

    Position Summary:

    Mission Action is seeking an energetic and self-motivated individual to provide executive administrative support to our Executive team. In this role, you will be supporting executives, handling a wide range of complex and highly confidential duties. This role requires excellent calendaring and prioritization skills, attention to detail, organizational skills, proficiency with Microsoft365, Salesforce, and other computer applications, and the ability to manage multiple critical requests at the same time.

    Candidates should have a minimum of 5+ years of experience supporting senior level executives and bilingual Spanish is required.

    Duties and Responsibilities:

    • Manages sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the operations of the agency.
    • Arranges calendar and schedules internal or external meetings, independently or as directed.
    • Prepares Word, Excel, and/or PowerPoint presentations, agendas, reports special projects, and other documents in support of objectives for the organization.
    • Assists in administration communications and correspondence, including making phone calls or drafting, proofing, or formatting e-mails.
    • Provides general administrative support, including submitting receipts and reimbursements, purchasing supplies or equipment, or preparing forms for review.
    • As required, researches issues and topics and prepares executive summaries.
    • Helps drive team culture by assisting in planning events and operations.
    • Coordinates agency-wide and administrative committees and retreats.
    • Arranges travel, accommodations, meetings, and meals for conferences and as needed.
    • Builds great relationship with community partners. As directed, represent the agency in an Executive team member's absence and reports back vital information.
    • Prioritizes conflicting needs, handling matters expeditiously and proactively. Follows through on projects to successful completion, often with deadline pressures.
    • Takes meeting minutes for meetings with Executive Leadership, and as needed, at committee meetings.
    • Supervises Office Coordinator; provides coaching and mentoring to other agency administrative assistants and staff, as necessary.
    • Develops standard operating procedures for administrative tasks/assignments in the organization.

    Other Organizational Duties

    • Conducts business in accordance with the Mission Action Employee Handbook, exercising sound judgment and serving the best interests of the agency and the community.
    • Works within the framework of the agency's mission, vision, values, theory of change, and organization's commitment to diversity, equity, and inclusion, restorative justice, trauma-informed work, and language justice.
    • Commits themselves to treating each community member with respect and dignity.
    • Perform other duties as assigned.

    Qualifications and Experience Desired

    • 5+ years of experience working as an Executive Assistant.
    • Ability to work in a fast-paced environment and prioritize work to meet specific deadlines required.
    • Must have ability to adapt to changing priorities and crisis situations.
    • Strong prioritization, organizational, and time-management skills.
    • Ability to juggle multiple tasks concurrently.
    • Exceptional interpersonal, written, and verbal communication skills, including conflict resolution and relationship building.
    • Experience with processing expense reports.
    • Must be self-motivated and results oriented.
    • Ability to keep sensitive matters confidential.
    • Should possess strong computer skills, including proficiency with Microsoft365, including Outlook, Word, Excel, and PowerPoint, Salesforce, Adobe, and other applications.
    • College degree preferred.
    • Availability to work on some evenings and weekends with advance notice on occasion.
    • Bilingual in spoken and written Spanish, required.
