    Job Title: Grants Administrator

    Report to: Chief Development Officer

    Status and Location: This is a Full-time, non-exempt position, working an average of 37.5 hours a week. Work is currently Hybrid with cycles of in-person work required at our offices located in Central Los Angeles and non-traditional hours (weekends and/or outside of 8:00 am-5 pm) based on program and business needs.

    About the Role

    The Grants Administrator will report to the Chief Development Officer and play an integral role in the Development team, which is collectively responsible for securing funds. The Grants Administrator will conduct prospect research, oversee the department’s grants calendar, draft letters of inquiry and proposals, complete interim and final reports, and work collaboratively with other staff to raise funds and steward foundation relationships.

    The Grants Administrator must be self-directed and capable of working independently and collaboratively. The ideal candidate will be passionate about research, writing, and community impact. They should be highly proficient in Microsoft Word and Excel, with the ability to create grant budgets, and graphs and charts that are visually impactful within proposals. In addition, the Grant Administrator must be proficient with donor CRM platforms.

    General Duties and Responsibilities:

    Grants Administration

    • Coordinate grant proposal process with relevant staff from various departments to ensure timely submissions and reporting.
    • Create a grant calendar to track submission and reporting deadlines.
    • Produce correspondence for grant administration, including acknowledgments, queries, cover letters, renewal letters, and funder updates.
    • Work closely with program managers and senior management to develop programmatic objectives for grants that expand mission impact and avoid mission creep.
    • Coordinate with the finance department to build sufficient budgets for proposals and reports on spending.
    • Manage grant projects independently and provide regular updates on project status to Development, Program, and Finance teams.
    • Demonstrate creative problem-solving when encountering obstacles in gathering information or completing tasks.
    • Other administrative support and duties as assigned.

    Grant Prospecting, Research, and Writing

    • Research and identify new potential foundation, corporate, and other private supporters to meet revenue goals of $900,000 for FY2025-26.
    • Draft proposals and reports to foundation and corporate funders.
    • Stay current on statistics, trends, and research to ensure accurate and timely correspondence with funders.
    • Create graphs, charts, and other visual data representations within proposals, as needed.

    Documentation and Data Collection

    • Collect and analyze quantitative, qualitative, and anecdotal information on outcomes, program activities, client success stories and other relevant information for use in grants.
    • Maintain foundation and corporate grant files.
    • Use CRM database to track cultivation and stewardship touchpoints for the grant portfolio.
    • Assist with tracking progress toward the annual grant revenue goal.
    • Prepare budgets, analyze data, and create charts and graphs for proposals and reports.

    Qualifications

    • A minimum four (4) years of experience in grant writing and project management.
    • Excellent verbal and written communication skills: ability to write clear, structured, articulate, and persuasive proposals, with close attention to detail.
    • Strong organizational and project management skills that reflect ability to take initiative and manage multiple projects assigned through completion with minimal supervision.
    • Must be able to set priorities and meet firm deadlines while maintaining professionalism under pressure.
    • Creative and innovative thinker, who actively presents new opportunities, proposes solutions and recommends best practices.
    • Deep experience with grant research and demonstrated passion for community impact and data-driven writing, using both quantitative and qualitative data.
    • A proven track record in fund development from foundation and corporate grants.
    • Work independently and within a team environment.
    • Establish working relationships and interact effectively with a wide range of people internally and externally.
    • Experience with Donor Perfect, Donor Dock, Raisers Edge or similar CRM software.
    • Advanced Microsoft Office suite skills, including Microsoft Word, Excel, Share Point, One Drive, and calendaring functions.
    • Experience creating budgets, graphs and data analysis is essential.
    • Experience with remote-work environments a plus.
    • Prolonged periods of sitting at a desk and working on a computer.
    • Occasional standing, walking, and lifting of up to 15 pounds.
