Purpose and Role:
The Educational Programs Specialist provides operational, technical, and learner-experience support across PVI’s educational programs, online learning environments, and community events. Working closely with the Education Programs Manager and collaborating across departments, this role helps ensure that PVI’s courses, live sessions, and digital learning experiences are thoughtfully organized, technically supported, and aligned with PVI’s values of safety, connection, and co-regulation.
This role contributes to the day-to-day implementation of educational programming through LMS course administration (Thinkific), Zoom event coordination and live-session facilitation, learner resource management, and educational media preparation and content delivery. The Educational Programs Specialist also provides operational coordination for PVI’s Annual Gathering and other educational and community-facing initiatives.
As PVI continues to grow, this role serves as an important capacity-building position helping strengthen education delivery systems, improve operational workflows, and support seamless collaboration across Education, Marketing & Communications, Media, and Enrollment.
The ideal candidate is highly organized, collaborative, technologically capable, detail-oriented, and comfortable working in a fast-paced virtual environment with many moving parts. Success in this role requires flexibility, initiative, strong communication skills, and a passion for creating engaging and supportive learning experiences.
KEY AREAS OF RESPONSIBILITY
Educational Program Operations
- Support the setup, organization, and maintenance of educational offerings within LMS (Thinkific), including courses, cohorts, community spaces, learner resources, and educational materials.
- Work closely with the Education Programs Manager to support course launches, learner experience workflows, and ongoing program administration.
- Build and manage Zoom Events and Zoom meeting backend setup for courses, webinars, and community events.
- Provide hosting, moderation, and technical support for live online sessions and educational events (approximately 8–10 hours per week), helping create a smooth and supportive learner experience
- Assist with testing and troubleshooting course functionality, learner access, integrations, and platform-related issues.
- Support post-event tasks, including organizing participant follow-up materials, post-event surveys, verifying recordings, and preparing recordings to be shared as self-paced educational content.
- Assist with the formatting and preparation of educational resources, handouts, Learning Library materials, and learner-facing digital content.
- Facilitate and support online learning communities and participant engagement spaces.
Educational Content & Media Support
- Coordinate video editing and production for educational programs, including editing course recordings, preparing clips, formatting educational assets, and collaborating with media specialists and external editing support as needed.
- Support the ongoing development and maintenance of digital learning materials within LMS
- Provide content support for educational promotions, learner communications, and community learning initiatives as requested.
Administrative & Cross-Functional Support
- Help maintain organized workflows and project tracking using tools such as Monday.com and Google Workspace.
- Support PVI's International Partnership program by attending partner meetings, tracking action items, and coordinating follow-up with partners who translate and deliver PVI courses in their local language.
- Support ongoing improvements to educational operations workflows and systems.
- Assist with Annual Gathering/ conference event preparation and coordination tasks.
JOB QUALIFICATIONS
Required experience and skill sets:
- 2–4 years of experience in online learning administration, operations support, event coordination, or related work, preferably within an educational, nonprofit, or mission-driven organization.
- Strong organizational and time-management skills, with the ability to manage multiple projects, timelines, and operational details in a fast-paced virtual environment.
- High aptitude for technology (experience using platforms such as Zoom, Thinkific or other LMS and CRM systems, Google Workspace, and project management tools a plus).
- Experience with video editing, digital content organization, or educational platform support preferred.
- Excellent written and verbal communication skills, with strong attention to detail, follow-through, and responsiveness.
- Thrives in a rapidly changing, growing organization where flexibility, collaboration, and initiative are essential.
- Interest in Polyvagal Theory and commitment to PVI’s mission and values of safety, connection, and co-regulation is a plus.

- Annual Salary: $55,000 - $65,000
- Work Week: Monday through Friday noon
