Job Title: Development & Operations Coordinator

Reports to: Development Officer and Operations Manager
Position Summary:
We are seeking a highly organized, proactive, and mission-driven professional to serve
as the Development & Operations Support Coordinator. This role provides essential
administrative, logistical, and project support to both the Development Officer and the
Operations Manager in a growing nonprofit organization. The ideal candidate is a
collaborative multitasker with excellent attention to detail, strong communication skills,
and a commitment to helping the organization grow efficiently and effectively. Able to
work both remotely and in-person.
Key Responsibilities:
Development Support (approx. 50%)
- Assist with donor database management, including data entry, reporting, and
maintaining accurate records.
- Support the coordination and logistics of fundraising events and donor meetings.
- Prepare donor communications and materials (thank-you letters, proposals,
mailings).
- Conduct research on prospective donors and funding opportunities.
- Liaise with Program Analyst to help track grants and reporting deadlines, and
assist with drafting or compiling materials.
Operations Support (approx. 50%)
- Assist with project management oversight to coordinate and execute
programmatic initiatives, grantee interfacing, i.e., University of the West Indies.
Managing logistics, effective communication, and monitoring deliverables.
- Help maintain organizational systems, internal documents, and digital files.
- Support onboarding and HR-related tasks in collaboration with the Operations
Manager.
- Assist in the coordination of board and team meetings, including preparing
agendas and transcribing/organizing minutes.
- Support daily administrative functions such as scheduling, filing, and
correspondence.
Qualifications:
- 2+ years of relevant administrative, development, or operations experience
(nonprofit experience preferred).
- Strong organizational and time-management skills; able to manage multiple
priorities.
- Proficiency with Microsoft Office, Google Workspace, and donor CRM systems
(i.e., Neon) is a plus.
- Excellent written and verbal communication skills.
- Detail-oriented and discreet, with a commitment to data confidentiality and
accuracy.
- A team player with a proactive approach and problem-solving mindset.
