    Role Summary:

    The Operations Manager is responsible for overseeing core organizational systems, ensuring smooth day-to-day operations, and supporting the overall effectiveness and sustainability of the organization. This role requires a detail-oriented, proactive, and solutions-driven leader who can coordinate across departments, manage internal processes, and maintain the administrative and operational infrastructure that enables the organization to achieve its mission.

    The Operations Manager plays a central role in organizational planning by managing cross-departmental projects, supporting budget tracking and grant compliance, preparing materials for board meetings, and ensuring that administrative systems remain organized, efficient, and aligned with strategic goals. The role serves as a backbone for the organization, maintaining operational stability while contributing to long-term growth and organizational development. The Operations Manager will oversee key operational functions—including finance support, HR and personnel systems, technology and data management, compliance, and internal workflow coordination. This individual will work closely with the Executive Director to ensure the organization maintains the internal systems and has the resources necessary to execute programs and campaigns effectively.

    Essential Duties and Responsibilities:

    Operations

    • Oversee day-to-day organizational operations for a region-wide pro-housing advocacy nonprofit, ensuring smooth and efficient functioning across all departments.
    • Manage internal systems and operational infrastructure, including scheduling, office administration, vendor contracts, and technology platforms.
    • Lead financial operations in partnership with the Executive Director, including budget tracking, variance analysis, expense reconciliation, and preparation of board and funder financial updates.
    • Support grant management and compliance by tracking deliverables, deadlines, invoices, and required documentation.
    • Maintain and optimize CRM and data systems (e.g., EveryAction, Action Network), ensuring accuracy across membership, organizing, and outreach data.
    • Support development operations, including donor tracking, event logistics, acknowledgements, and grant reporting coordination.
    • Manage organizational compliance across insurance renewals, filings, contracts, policies, registration requirements, and grant terms.
    • Oversee and improve internal technology systems, tools, and processes, ensuring staff have the resources needed to operate effectively.

    Human Resources

    • Manage HR processes, including onboarding/offboarding, benefits administration, payroll coordination, and personnel record maintenance.
    • Coordinate recruitment, hiring workflows, job postings, interview scheduling, and offer processes.
    • Maintain updated HR policies, employee handbook materials, and internal documentation.
    • Promote a positive, inclusive, and equitable workplace culture through strong communication, consistent systems, and responsive support.
    • Work with the Executive Director to support staff development, training opportunities, and performance-related processes.

    Board Development & Governance

    • Coordinate all board-related operations, including scheduling, agenda development, document preparation, meeting packets, and minutes.
    • Assist the Executive Director with board relations, governance requirements, and adherence to nonprofit standards.
    • Support board committees by tracking tasks, deadlines, and follow-up assignments.
    • Prepare financial, operational, and grant-related materials for board review.
    • Assist with logistics and planning for board retreats, orientations, and special governance events.

    Qualifications

    • 3-5 years of experience working in administration, operations, or program support, whether in a non-profit, for-profit, or public setting (non-profit experience is a plus but not required).
    • Familiarity with CRM systems such as EveryAction and Action Network
    • Passion and enthusiasm for working to end the housing crisis, and a commitment to social and environmental justice.
    • Strong organizational skills and the ability to manage multiple projects, deadlines, and shifting priorities.
    • Self-motivated with a demonstrated ability to work independently, take initiative, and solve problems proactively.
    • Ability to work collaboratively and cultivate respectful relationships with staff, board members, volunteers, and partners from diverse backgrounds.
    • Comfort and skill working in fast-paced, dynamic environments.
    • Commitment to operational excellence, integrity, and supporting the long-term growth of the organization.
