For the last 20 years, 100% of Minds Matter Boston students have been admitted into four-year colleges, and 98% have successfully graduated, compared with just 41% of high-achieving students nationally. 98% of Minds Matter Boston students identify as students of color. This powerful nonprofit program is delivered through a dedicated body of 350+ volunteers and a full-time staff team of eight.

    Position Overview

    Minds Matter Boston is seeking an Operations Coordinator to join our team, where you will oversee daily organizational operations and provide support for our programming. Our ideal candidate is someone who:

    Role Description

    The Operations Coordinator role is highly collaborative, with operational responsibilities across multiple teams at Minds Matter Boston. The Operations Coordinator is responsible for conducting administrative duties to ensure effective and efficient office operations, as well as supporting key projects in collaboration with the programming team, development team, and the Executive Director. This role is ideal for a skilled generalist or jack-of-all-trades who can juggle multiple responsibilities with high attention to detail.

    During the school year, regular workdays for this position are Tuesday through Saturday. We are seeking someone to start as soon as possible (ASAP).

    Executive Support: 20%

    • Strategically manage the Executive Director’s calendar to ensure that they can meet deadlines and objectives.
    • Support the Executive Director with managing MMB finances, including reimbursements, expense categorization, processing invoices, and more.
    • Support in planning and executing the Minds Matter Boston quarterly board meetings.
    • Support the Executive Director in managing the Minds Matter Boston Board of Directors.

    Office Management & Operations: 30%

    • Provide critical support for staff hiring and onboarding.
    • Provide critical support in all staff meetings, events, and retreats.
    • Ensure seamless daily operations by maintaining the reception area, kitchen, breakout areas, storage spaces, conference room, MMB P.O. Box, and other key areas.
    • Supervise and oversee basic office equipment and technology, including printers, computers, televisions, Wi-Fi, and furniture.
    • Manage MMB key communication tools, including email, Google Drive, Slack, Zoom, and more.

    Programming Supporting: 50%

    • Attend and support Saturday operations by building relationships with students and volunteers, preparing all materials handouts on a weekly basis. Order supplies, food, and additional materials as needed.
    • Manage the attendance tracking process on a weekly basis reporting out to the programming team on trends and target stakeholders.
    • Support data collection and analysis process including managing follow-up with participants to ensure the team meets completion goals (BOY, Mid-Year, EOY).
    • Support Junior summer program logistics (transportation and invoices)
    • Support mentee and mentor recruitment efforts
    • Support with all major MMB events (Graduation, Community Kick-off, interview day, CCS orientation, Winter Party, Soiree), including logistics, materials, and additional needs.

    Qualifications

    • Bachelor's degree preferred.
    • Passionate about the Minds Matter mission of promoting education equity and furthering college access and success.
    • Commitment to helping a highly successful organization implement systems and structures to support a new strategic planning phase.
    • Strong written and verbal communication skills.
    • Extremely organized, hyper-attentive to detail, responsive, and reliable.
    • Ability to multitask and prioritize requests from multiple team members.
    • Proficiency in Google (Docs, Sheets, Slides) & Microsoft Office (Excel, Word, Publisher, PowerPoint).
    • Demonstrated ability to work with individuals with diverse backgrounds, interests, and skills.
    • Previous experience with CRM databases, such as Salesforce, is preferred.
    • Minds Matter Boston is a hybrid organization; all staff work 2-3 in-person days a week.

    Compensation & Benefits

    • $45,000-$55,000; salary dependent on qualifications.
    • Excellent benefits package that includes medical/dental/vision/life and short and long-term disability insurance, 15 paid vacation days, 15 sick days, paid holidays, 1 week December closure, two floating holidays, three personal days, Parental leave policy to support your family planning journey, and a 401k plan.
    • This position is based in Downtown Boston and follows a hybrid work model with two-three in office days.
