    Operations Coordinator (Part-Time)

    Organizational Summary:

    The New Jersey Alliance for Immigrant Justice (NJAIJ) is the state’s largest immigration coalition. Together with over 60 member organizations, NJAIJ fights for policies that empower and protect immigrants. We are seeking applications for a part-time Operations Coordinator.

    NJAIJ brings together the power and strength of our member organizations to ensure immigrant communities are leaders in campaigns that advance justice, inclusion, and belonging. NJAIJ is at the forefront of every major immigrant justice fight. We are the first to speak up and the last to stand down. Joining our staff means joining an active team of leaders who are compassionate as they are courageous and working in coalition with some of the state’s brightest minds.

    The Role:

    The Operations Coordinator works closely with NJAIJ staff to maintain the organization’s operations and internal systems within a fast-paced, high demand environment. The successful candidate will have demonstrated experience in a previous administrative role within high stakes campaigns or with growing, large-scale organizations.

    This is a hybrid position that combines roughly 40% in-person presence and 60% remote work. Travel is expected across New Jersey, especially including in-person attendance at our office in Newark, the State Capitol in Trenton, and occasional visits to our membership across the state. The role may include camera and screen time (livestreams, webinars, etc) and will occasionally require periods of standing, walking, and light lifting (boxes with outreach materials, banners, etc), as well as stationary desk, sitting, phone, and screen time when not in the field.

    This is a junior role within NJAIJ and reports to the Executive Director.

    Responsibilities:

    In addition to supporting NJAIJ’s overall mission, the Operations Coordinator will also be responsible for…

    Managing NJAIJ internal communications, calendars, and systems including:

    • Responding to external inquiries through NJAIJ social media platforms, our website, and our information email account and directing them toward the appropriate staff.
    • Organizing shared staff drives, internal coalition documents, and campaign meeting notes.
    • Scheduling and maintaining NJAIJ calendars, event.
    • Maintaining NJAIJ subscriptions, membership plans, and account information.
    • Updating NJAIJ contacts, directories, and listservs.

    Inventory, purchases, reporting, and event support including:

    • Tracking office supply inventory and managing NJAIJ purchase orders, invoices, and expense reports.
    • Maintaining existing vendor relationships and processing timely Memorandums of Understanding and renewals.
    • Building competitive vendor relationships and finding the appropriate deals for recurring office costs, bulk purchases, or event sponsorships.
    • Assisting staff with event registration and sound, tabling, parking, or other local permitting needs for special events.

    Qualifications & Core Competencies:

    The selection process will consider a wide range of lived and earned experiences.

    All candidates must be able to demonstrate the following experiences and competencies in their application in order to be considered for interview:

    • 1-3 years in an administrative or operations role.
    • Excellent computer literacy and willingness to incorporate new tools and technology into their work.
    • Ability to use basic spreadsheet formulas to track costs, notice trends, and produce reports.
    • Careful attention to detail for data entry and management, as well as well-developed time and project management skills.
    • Acknowledgement that confronting nationalist, anti-immigrant xenophobia and rising authoritarianism that defines this present moment requires quick, disciplined, and efficient work..
    • Strong commitment and personal ties to immigrant, racial, social, and economic justice and critical analysis of systemic racism and structural inequities in New Jersey.

    Once satisfying the above, competitive applicants will also possess a majority of the following:

    • Eagerness to work in fast-paced environments that require transitioning quickly between tasks.
    • Sense of independence and ability to make strategic decisions, even with limited information.
    • Bi- and multilingual candidates who have reading and writing proficiency in Arabic, Haitian Creole, French, and/or other West African languages, Korean, Mandarin, Cantonese, and other Asian Languages are strongly encouraged to apply.
    • Enthusiasm for snacks, cute pictures of animals, and building collective community power.

    Compensation:

    NJAIJ public holidays include 14 paid public dates and 3 heritage days for staff who observe celebrations outside those 14 days. NJAIJ’s office is closed twice per year, during the first week of July and the last week of December.

    This position has a salary range between $20.00-25.00 per hour at 20 hours per week. NJAIJ uses a fixed compensation structure to provide pay parity across similar roles in the organization. To preserve equity, the salary range is not up for negotiation.

    Interview Process:

    Applicants will be notified if they are invited to a first round screening. Following first-round screenings, applicants will be notified if they have proceeded to the next stage of the interview process. NJAIJ expects to find the qualified candidate without two rounds of interview – after which NJAIJ will request 3-5 contacts for professional reference, one of which must be a prior direct supervisor. Offer letters will be extended upon completion of reference checks.
