    About TASSC International

    The Torture Abolition and Survivors Support Coalition International (TASSC) is a survivor-led nonprofit organization dedicated to ending the practice of torture and supporting survivors as they rebuild their lives.

    TASSC provides legal, social and wellbeing, career development, advocacy, and community-based services to survivors of torture and their families. Our work is grounded in dignity, survivor leadership, cultural sensitivity, trauma-informed practice, and respect for the experiences of the communities we serve.

    Position Overview

    TASSC is seeking an organized, detail-oriented, and mission-driven Operations & Administration Manager to oversee and coordinate the organization's day-to-day administrative and operational functions.

    This position plays a central role in ensuring that TASSC's internal systems, financial administration, human resources processes, office operations, technology, compliance documentation, and organizational records function effectively.

    The Operations & Administration Manager works closely with the Executive Director, program staff, Development and Finance staff, external accountants and vendors, and the Board of Directors.

    The ideal candidate is someone who can manage multiple priorities, develop strong administrative systems, maintain confidentiality, work collaboratively across programs, and contribute to a welcoming and survivor-centered organizational environment.

    Key Responsibilities

    Operations & Administration

    • Manage day-to-day office and organizational operations.
    • Maintain and improve administrative procedures, workflows, calendars, files, and organizational records.
    • Coordinate office supplies, procurement, equipment, vendors, facilities, and organizational inventory.
    • Support the Executive Director with scheduling, meetings, correspondence, documentation, and administrative follow-up.
    • Maintain organizational contracts, policies, registrations, insurance documents, and other important records.
    • Serve as a primary administrative point of contact for visitors, vendors, partners, and general organizational inquiries.

    Finance & Compliance Support

    Working in coordination with the Executive Director, Development and Finance staff, and external accountant:

    • Process and organize invoices, bills, reimbursements, receipts, and other financial documentation.
    • Assist with expense coding, financial recordkeeping, and tracking expenditures against organizational and grant budgets.
    • Coordinate documentation needed for monthly reconciliation, financial reporting, audits, and grant monitoring.
    • Support payroll administration and ensure appropriate supporting documentation is maintained.
    • Assist with organizational compliance requirements, registrations, insurance renewals, and required filings.
    • Maintain a calendar of important operational and compliance deadlines.

    Human Resources Administration

    • Coordinate administrative aspects of employee onboarding and offboarding.
    • Maintain confidential personnel and HR records.
    • Track staff attendance, leave, vacation, sick time, and other required personnel information.
    • Coordinate payroll and benefit information with appropriate providers.
    • Support administration of employee benefits, personnel forms, and organizational policies.
    • Prepare accounts, equipment, orientation materials, and documentation for new staff, interns, and volunteers.

    Technology & Organizational Systems

    • Coordinate organizational technology and administrative systems.
    • Manage employee access to email, software, and organizational platforms in coordination with IT providers.
    • Maintain records of computers, equipment, software subscriptions, and licenses.
    • Coordinate technology troubleshooting and vendor relationships.
    • Assist with cybersecurity, data protection, document management, and internal technology procedures.
    • Identify opportunities to improve administrative efficiency and organizational systems.

    Board, Programs & Organizational Coordination

    • Provide administrative and logistical support for Board of Directors and committee meetings.
    • Assist with preparation and distribution of meeting materials.
    • Support logistics for TASSC's General Assembly, trainings, survivor activities, staff meetings, funder visits, and organizational events.
    • Coordinate administrative needs across TASSC's programs and help strengthen internal communication and follow-up.
    • Assist program staff with operational needs while respecting program leadership and responsibilities.
    • Support organizational projects and other duties assigned by the Executive Director.

    Qualifications

    Required:

    • Bachelor's degree in nonprofit management, business administration, public administration, human resources, organizational management, or a related field; equivalent relevant experience may be considered.
    • At least 4 years of relevant professional experience in nonprofit administration, operations, office management, human resources, finance administration, or a related area.
    • Strong organizational and time-management skills with excellent attention to detail.
    • Ability to manage multiple priorities and deadlines.
    • Experience maintaining confidential financial, personnel, or organizational records.
    • Familiarity with bookkeeping, payroll, budgeting, expense tracking, or financial administration.
    • Strong proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
    • Excellent written and verbal communication skills.
    • Ability to work independently and collaboratively in a diverse team environment.
    • Strong professional judgment, discretion, and commitment to confidentiality.
    • Commitment to TASSC's mission and survivor-led approach.

    Preferred

    • Experience working in a nonprofit organization.
    • Experience supporting immigrants, refugees, asylum seekers, survivors of violence, or culturally diverse communities.
    • Familiarity with QuickBooks or similar accounting systems.
    • Experience with payroll, HR platforms, benefits administration, or nonprofit databases.
    • Experience supporting nonprofit audits, grants, compliance, or Board governance.
    • Knowledge of trauma-informed practices.
    • Fluency in Arabic, Amharic, Tigrinya, French, Spanish, or another language spoken by the communities TASSC serves is an asset but is not required.
