Position Summary:
The Housing Stakeholder Specialist is responsible for reviewing lease and vendor documentation, generating and requesting housing payment transactions (new move-ins) and ensuring accurate, timely submission to the finance department for housing payments.
Essential Duties and Responsibilities
Responsibilities and duties include but are not limited to:
- Request and review leases, and vendor information for compliance.
- Request and generate housing transactions in Padmission for new move ins. Screen for eligibility and accuracy prior to processing, with all requests reviewed and approved within 14 business days of submission.
- Review leases for correct dates, security deposit amounts, prorate amounts, address, utilities, and signatures.
- Generate rent reasonableness reports using Affordable Housing Software.
- Review landlord compliance documentation (W-9, PM agreements, DBA logs) for accuracy and submit to finance for creation in accounting software within 1 business day of receipt.
- Maintain complete, audit-ready documentation for all housing payment transactions in accordance with funding source requirements.
Qualifications and Requirements
Required Qualifications:
- A bachelor’s degree in real estate, business administration, public administration, human services, or a related field; or equivalent background with two (2) years of experience working with property management, real estate, homelessness, poverty, housing, mental health and human services.
- A minimum of two (2) years of experience in property management, lease administration, or housing services required.
- Knowledge of leasing processes, payment cycles, and landlord/vendor compliance documentation (W-9s, PM agreements, DBA verification).
- Demonstrated accuracy and attention to detail when handling financial and housing transaction data.
Preferred Qualifications:
- Knowledge of and experience working with HMIS, Salesforce, Abila, and other spreadsheets and databases.
- Experience with property management or housing payment software (e.g., Padmission or similar systems) preferred.
- Prior experience in accounting or bookkeeping
- Experience with subsidized housing programs.
- Nonprofit experience.
Physical Demands
While performing the duties of this job, the employee is regularly required to sit for extended periods with occasional standing or walking, use their hands to type and use standard office and computing equipment, and reach for files and materials. The employee must also be able to sit for extended periods at a computer. Additionally, the employee may occasionally be required to lift and/or move objects weighing up to 15 pounds.
Work Environment
This position operates in an office-based environment and primarily desk-based work with minimal community-based interaction, with occasional local travel as needed. Employees will regularly engage with team members, landlords, and internal finance/grants staff, often addressing sensitive issues associated with housing payment accuracy, funder compliance, and transaction integrity. The role demands a high level of accuracy, attention to detail, and the ability to manage deadline-driven reconciliation work. Work is generally completed between the hours of 8:00 a.m. to 5:00 p.m., generally Monday through Friday. This is a full-time, position requiring 40 hours per week. Additional hours are occasionally required.
Conditions of Employment
- Provision of satisfactory references and completion of background investigation check
- Completion of a pre-employment drug screening as well as post-employment drug or alcohol tests upon reasonable suspicion of use
- Demonstrated computer literacy, which may be assessed through pre-employment testing.
- Completion of HSN new employee orientation and ALL required paperwork prior to reporting to work
- Compliance with all HSN Policies and Procedures.
