    Position Overview:

    Reporting directly to the Director for Finance, the Accounting Manager will manage weekly and semi-monthly payrolls; the monthly and annual financial close; and play an integral role in compliance and reporting to internal and external stakeholders. To achieve these objectives, the Accounting Manager will work closely with colleagues, consultants, vendors, and external stakeholders. We are looking for an accounting professional who has experience with these processes and can partner effectively with others to drive successful outcomes.

    Responsibilities:

    Accounting

    • Ensure accurate and timely completion of monthly, quarterly, and annual closing processes and maintain financial records in accordance with Generally Accepted Accounting Principles (GAAP).
    • Reconcile and create schedules for balance sheet accounts.
    • Prepare recurring and adjusting journal entries as needed.
    • Ensure expenses are properly recorded and aligned with approved budgets.
    • Assist with audits and the preparation of Form 990 filings.
    • Document procedures to support effective internal controls.

    Accounts Payable

    • Manage the accounts payable process to ensure vendors are paid accurately and promptly.
    • Ensure adherence to purchasing and accounts payable policies, standards, and regulations, maintaining up-to-date knowledge of government requirements.

    Grant Management

    • Collaborate with teams across the organization to understand grant requirements and ensure those requirements can be met in our financial systems.
    • Ensure proper expense allocation for grants and other specific funding.
    • Prepare financial reports for grants.

    Financial, Tax and State Reporting

    • Prepare timely and accurate monthly financial statements and management reports.
    • Prepare analysis for salary, payroll, HR and benefit expenses on a monthly and quarterly basis.
    • Prepare 1099s and 1042s at year end.
    • Assist with annual filings.

    Payroll

    • Process semi-monthly and weekly payrolls and manage the relationship with the payroll provider.
    • Ensure payroll transactions are processed accurately and timely. Ensure the accuracy of payroll data by conducting reconciliations and detailed audits, including quarterly 941 reconciliations.
    • Oversee the time sheet processes.
    • Generate recurring and ad hoc payroll reports and manage annual processes such as W2 distributions.
    • Liaise on the parental, family, and medical leave processes to ensure accurate calculations.

    Miscellaneous

    • Assist with the development and implementation of internal financial policies and procedures.
    • Review accounting documents to ensure accuracy of information and compliance with relevant standards and regulations.
    • Contribute to and manage special projects.
    • Assist with securing signatures for contracts and agreements using DocuSign, and file the signed documents in the appropriate folders.

    Qualifications

    • Bachelor's degree required; a background in Business and/or Accounting is a plus.
    • Over four years of full-time experience in finance and accounting roles.
    • At least two years of experience in nonprofit accounting, including payroll processing.
    • A collaborative team player with a positive customer service attitude.
    • Advanced skills in Microsoft Excel and familiarity with accounting systems.
    • Strong attention to detail, coupled with excellent time and project management abilities.
    • Results-driven and proactive in finding solutions to challenges.
    • Effective communicator, both verbally and in writing.
    • Committed to maintaining the highest standards of ethical conduct and confidentiality.

    The annual salary for this position ranges from $85,000 to $100,000, depending on qualifications and experience. This is a remote role headquartered in New York City, with occasional in-office attendance required when requested.
