VOLUNTEER COORDINATOR
Reports to: Operations Director
Status: Full-Time, hourly
Pay Rate: $27.00 - $30.00 per hour
Schedule: Monday - Friday, 8:30am - 5:00pm
Location: Livermore, CA (with regular travel to Dublin and Pleasanton service sites)

Position Summary:
The Volunteer Coordinator is responsible for recruiting, onboarding, training, scheduling, and retaining volunteers across Open Heart Kitchen’s programs and service sites. This role ensures that volunteer operations are well-organized, adequately staffed, and aligned with program needs, while creating a positive, respectful, and inclusive volunteer experience.
The ideal candidate is highly organized, people-centered, and comfortable balancing logistics, data tracking, and on-the-ground volunteer support in a fast-paced, mission-driven environment.
Essential Duties and Responsibilities:
Volunteer Program Management
- Recruit, onboard, train, and retain volunteers for programs across the Tri-Valley
- Coordinate volunteer schedules to meet daily operational needs at multiple sites
- Serve as the primary point of contact for volunteers, providing guidance, support, and issue resolution
- Maintain accurate volunteer records, hours, waivers, and engagement data using databases and spreadsheets
- Track volunteer participation trends and gaps; provide regular reports and insights to program leadership
- Support volunteer recognition efforts and contribute to strategies that improve volunteer retention
- Ensure volunteers are trained on safety procedures, site expectations, and applicable policies
- Provide on-site volunteer support and supervision as needed
Administrative and Operational Support
- Manage volunteer intake processes, including applications, orientations, and clearances
- Communicate regularly with volunteers via email and other platforms regarding schedules, updates, and opportunities
- Collaborate with program staff to anticipate volunteer needs and adjust recruitment or scheduling accordingly
- Assist with maintaining volunteer-related policies, procedures, and documentation
- Support audits, inspections, or reporting requirements related to volunteer activities, as needed
Program Support and Cross-Training
- Cross-train as a Meal Site Supervisor to provide coverage at meal service sites when needed
- Provide on-site operational support at meal locations, including volunteer coordination and adherence to program procedures
- Assist the Operations Director with operational tasks outside of core volunteer coordination duties, as needed, to support program continuity and balance workload during periods of high demand, staff absence, or special projects
Qualifications:
Education and Experience
- Bachelor’s degree in a related field or equivalent combination of education and experience
- Minimum of two (2) years of relevant experience in volunteer coordination, nonprofit administration, or community engagement
Skills and Competencies
- Strong interpersonal and communication skills; comfortable engaging with diverse populations, including seniors, youth, and community volunteers
- Highly organized with the ability to manage multiple priorities and meet deadlines
- Detail-oriented with strong data tracking and documentation skills
- Collaborative, flexible, and solutions-oriented; able to work independently and as part of a small team
- Demonstrated commitment to equity, inclusion, and people-centered practices
Technical Skills
- Proficiency with Microsoft Office and Google Workspace (Docs, Sheets, Drive, Gmail)
- Strong Excel/Google Sheets skills for tracking and reporting
- Experience with volunteer management software preferred
- Familiarity with Adobe Acrobat
Physical and Other Requirements:
- Ability to work occasional evenings and weekends for special events or program needs
- Ability to occasionally lift or move up to 50 pounds
- Proof of negative TB test (re-test every four years)
- Ability to maintain confidentiality and exercise sound judgment and professionalism
