    JOB DESCRIPTION:

    We are seeking a Coordinator, Membership & Data Management who embodies the values, principles, and priorities that guide our initiatives as we continue to make a lasting impact on the future.

    The position of Coordinator, Membership & Data Management is the front-line individual for all inbound requests to SWE HQ, creating a positive customer experience that reflects on the entire SWE organization. This role reports to the Manager, Membership & Data Management and works in close collaboration with the Associate Director, Membership & Data Management and other senior team members on a variety of duties as assigned.

    CORE RESPONSIBILITIES:

    Administration and Customer Support (90%)

    1. Provide 5-star front line support to members and other external stakeholders. Respond promptly and professionally to inbound questions/inquiries via email, phone, and in-person interactions.
    2. Engage members with a service excellence mindset and solution-oriented manner
    3. Perform membership functions including processing membership requests, updating member records in the CRM, and invoicing members or registrants.
    4. Support Salesforce/Fonteva database management, ensuring membership data is accurate and up-to-date.
    5. Assist with administrative tasks, including membership mailings, data entry, member reporting and drafting of standard operating procedures.
    6. Oversee Zoom scheduling, including set-up, pulling attendee rosters and reporting statistics, and providing post-event support.

    Event Support (10%)

    1. Supports on-site events as needed by resolving customer service questions.

    DESIRED SKILLS:

    • High comfortability engaging with members via phone, email and in person.
    • Ability to convey information in a clear, concise, and comprehensive manner to a variety of audiences.
    • Strong computer skills including Microsoft Office applications and Google Workspace; Internet and technology savvy.
    • Strong organizational skills and attention to detail.
    • Excellent written and verbal communication skills.
    • Proficiency in using customer service platforms, ticketing systems, and databases, specifically Salesforce.
    • Ability to work collaboratively in a team environment and independently with minimal supervision.
    • Strong problem-solving and decision-making skills.
    • Flexibility to travel and provide onsite event support when needed.

    SUPERVISORY RESPONSIBILITIES:

    This position has no direct reports and reports to the Manager, Membership & Data Management.

    TRAVEL & SCHEDULE:

    This position works 40 hours per week based in the SWE HQ Office in Chicago, IL. Typically, at least 1-2 days per week is required in the office. Additional time in the office is needed on occasion for all staff meetings.
