The After-School Program Coordinator is responsible for the daily coordination, supervision, and implementation of DYCD-funded out-of-school time (OST) programming. The Program Coordinator ensures program quality, participant safety, and compliance with DYCD contractual requirements and SACC license compliance while supporting engaging academic, enrichment, and youth development activities. The Program Coordinator serves as the primary on-site liaison among DYCD, school partners, program staff, youth participants, families, and the ODT Inc. administrative offices.
Essential Duties and Responsibilities
Program Operations & Compliance
- Coordinate and oversee daily after-school program operations in alignment with DYCD OST/Beacon and SACC license compliance program models.
- Ensure compliance with DYCD contract requirements and SACC license, program guidelines, attendance policies, and monthly reporting deadlines.
- Maintain accurate and prompt participant attendance, enrollment, and demographic data using DYCD-approved systems (e.g., DYCD Online, OST Online System)
- Ensure all required documentation (participant files, staff credentials, lesson plans, schedules, and incident reports) is complete and up to date.
- Support site readiness for DYCD & DOH monitoring visits, audits, and quality assessments.
Staff Supervision & Support
- Supervise, coach, and support group leaders, teaching artists, instructors, and volunteers.
- Conduct regular staff check-ins and provide guidance on classroom management, youth engagement, and expectations from DYCD and ODT Inc.
- Ensure proper staff-to-youth ratios are maintained at all times in accordance with DOH mandates.
- Identify, recruit, and support staff onboarding, training (30hrs.), and compliance with background clearance and mandated reporting requirements.
Youth Development & Program Quality
- Ensure implementation of high-quality, age-appropriate academic support, enrichment, STEAM, arts, sports, and recreational activities.
- Promote positive youth development principles, social-emotional learning, and inclusive practices.
- Monitor student engagement, attendance patterns, and behavior; implement interventions as needed.
- Support Educational Liaisons and instructors in aligning programming with school-day learning goals.
Family & School Engagement
- Serve as the primary on-site contact for school administrators, teachers, parents, and caregivers.
- Support family engagement activities, workshops, and events in accordance with DYCD expectations.
- Communicate program updates, attendance concerns, and student progress to families and partners.
Health, Safety & Risk Management
- Ensure a safe, structured, and supportive environment for all participants.
- Implement and document incident, accident, and behavioral reports in accordance with DYCD and SACC and organizational policies.
- Ensure adherence to emergency procedures, child abuse reporting laws, and mandated reporter responsibilities.
Evaluation & Continuous Improvement
- Assist with data collection, surveys, and outcome tracking required by DYCD and ODT Inc.
- Participate in program planning, evaluation (staff & teaching artists), and continuous quality improvement initiatives.
- Support reporting efforts related to program outcomes, attendance targets, and performance benchmarks.
Qualifications
- Must have a Bachelor’s degree in Education, Youth Development, Social Work, Public Administration, or a related field (Spanish is a plus but not required)
- Minimum of 3–5 years of experience in DYCD/SACC and similar youth development/after-school programs, Grants (RFP) funding.
- Demonstrated experience supervising staff and managing site-based programming.
- Strong knowledge of DYCD OST/SACC policies, attendance requirements, and compliance standards (preferred)
- Excellent organizational, leadership, and communication skills
- Ability to work collaboratively with diverse youth, families, school partners, and community stakeholders.
- Proficiency with data systems and monthly reporting tools required by DYCD & ODT Inc.
- Must have legal authorization to work in the United States.
Work Schedule
- Full-time 10:30 am - 6:30 pm.
- Afternoons and evenings during the school year.
- Required availability during school holidays, summer programming, and occasional weekends.
