    BAX/Brooklyn Arts Exchange

    Education Programs Manager: Full-Time, Permanent, Non-Exempt Position

    Full Time Start Date: September 15, 2025 (paid training with outgoing Education Programs Manager begins late-August until full time start date)

    Reports to: Co-Executive Director, Education

    Location: Brooklyn, NY (in-person role with flexibility)

    Salary: $55,000-60,000 (commensurate with experience)

    Schedule: 40 hours/week, typically 10am–6pm (with some flexibility). Some evenings/weekends are required around special events or productions (scheduled in advance with flex hours).

    Location: This is an in-person position, typically M-F/S (to be discussed) with flexibility for occasional remote work on non-class day. The working location is at 421 Fifth Avenue in Park Slope, Brooklyn. BAX also has an Annex space located at 80 Hanson Place, Downtown Brooklyn.

    About the Role

    BAX/Brooklyn Arts Exchange seeks a dynamic, highly organized, and equity-driven Education Programs Manager to join our Education Department as a full-time, permanent team member. Reporting to the Co-Executive Director, Education, this role is instrumental in supporting, planning, and implementing all aspects of BAX’s Youth Education Programs. The Education Programs Manager directly supervises the Education Programs Assistant, seasonal School Breaks Counselors (~11), and interns/community service staff. Alongside the Co-Executive Director of Education, this position helps hire, train, and supervise ~11 teaching artists annually. The role collaborates closely with BAX staff across Operations, Marketing, Finance, and Production teams.

    KEY RESPONSIBILITIES:

    Departmental Planning & Administration (Year-Round)

    • Co-plan, budget, and assess seasonal youth programs with the Co-Executive Director of Education
    • Advance BAX’s anti-oppression and pro-inclusion values across all programming, training, hiring, and assessment decisions
    • Oversee payroll for faculty and seasonal staff; approve monthly timesheets and manage petty cash
    • Track equipment and inventory
    • Analyze Youth Education participant and program registration trends; program, demographic, and financial reporting in collaboration with Business and Development departments
    • Liaise with Marketing, Finance, Operations, and Production teams to ensure program success. Lead quarterly training with front desk staff in partnership with the Operations team to ensure the front desk knows procedures and information to share to the public.
    • Co-develop and facilitate Professional Development training and enrichment opportunities for BAX teaching artists and on occasion in collaboration with community and sector partners
    • Collaborate with the operations team to support BAX Birthday Party rental program and coordinate BAX Teaching Artist facilitators when applicable

    Studio Classes & School Pick-Up (September–June)

    • Develop seasonal studio class schedules, tuition rates, and manage registration (via Amilia platform)
    • Serve as primary liaison for studio teaching artists, families, and front desk staff
    • Lead School Pick-Up (SPU) logistics, including scheduling, staffing, training, and family communications
    • Provide occasional in-class support, including substitute teaching when needed

    Performance Workshops (September–June)

    • Collaborate on curriculum development, student recruitment, and performance planning
    • Manage family, student, and teacher communications and collaborate on budgeting and technical coordination related to performances with Co-ED and other BAX departmental support
    • Support rehearsals and final showcases (costume inventory, storage, and maintenance; tech; dinner; and family coordination) with production team support

    Financial Assistance (Seasonal)

    • Manage robust sliding-scale tuition and financial assistance programs
    • Process applications, prepare offers in collaboration with the Finance team, and coordinate final agreements with families
    • Track and monitor payment plans and family communications

    School Breaks Arts Programs (Mid-Winter, Spring, Summer)

    • Plan and staff school break programs in collaboration with Co-Executive Director of Education
    • Lead staff hiring, program and Professional Development trainings; serve as primary supervisor (mentor) and support to seasonal staff members
    • Support marketing and program promotion efforts including attending 1-3 annual camp fairs (Jan–March, often on weekends)
    • Manage program tuition and registration logistics
    • Serve as main contact for participating families, including managing intake of special support needs and any related follow up to ensure healthy and accessible program participation within BAX capacity

    Community Partnerships, Special Events & Festivals (September-June)

    • BAX currently partners with approximately 12 public schools through in-school residencies. The Education Manager may be asked to support select logistics and/or provide occasional in-person event support for these partnerships. (This is an area for discussion and potential growth.)
    • In collaboration with the Co-Executive Director, Programs & Production Manager, and other department leads, the Education Manager will help plan and provide hands-on support of the following special events:
    • Fall Open House (September)
    • Teen Artist Exchange (March/April, in partnership with peer organizations)
    • YouthWorks Festival (December–February, in collaboration with consulting festival directors)
    • Studio Class Events – including concerts, open studios for family observation, and culminating showcases (held once each fall and spring term)

    Family & Student Support (Year-Round)

    • Central contact for families regarding registration, curriculum, access support, attendance, and more
    • Collaborate with faculty and staff to follow up on absences, access needs, studio equipment support, etc.
    • Support behavioral or harm-related incidents with de-escalation and care in alignment with BAX mission, guiding principles, and antiracist pro-inclusion values

    QUALIFICATIONS

    This role is ideal for someone passionate about youth and arts education, with a strong interest in the performing arts and in building and employing the systems that support dynamic programming. The ideal candidate will be eager to deepen their skills and experience in pursuit of a long-term career in arts administration and nonprofit management.

    Required:

    • 2–3+ years experience managing arts or education programs, preferably in nonprofit, arts administration and/or performing arts settings
    • Experience in youth programming, performance production, and teaching artist management
    • Excellent interpersonal, organizational, and communication skills
    • Strong systems support interest and capacity (building, navigating, and assessing). Proficiency with Google Workspace, Excel, Zoom
    • Capacity to lead with care, accountability, and equity-centered values
    • Flexibility for evening/weekend work (seasonal, with comp time)
    • Deep alignment with BAX’s values: racial justice, queer liberation, and cultural equity
    • Ability to lift 25-35 pounds (ie office/event supplies, tables and equipment, education equipment and props, etc)

    Strongly Preferred:

    • Prior experience working with youth as a teacher, seasonal counselor, caregiver, etc.
    • Prior experience supervising teaching artists and interns
    • Familiarity with arts education online registration systems (e.g., Amilia), as well as Wordpress, Canva, Eventbrite, or Asana
    • Social media proficiency to support Marketing efforts
    • Spanish or other non-English language fluency
    • Comfort subbing or assisting in dance, drama, or tumbling classes
