    Full-Time, Permanent, Remote Position, based in Milwaukee or Waukesha County

    About the Role

    The Program Coordinator will lead the planning, logistics, and execution of our digital skills classes in Wisconsin’s Milwaukee and Waukesha counties. This pivotal role will be responsible for ensuring the smooth delivery of high-quality training by managing all logistical elements, including equipment procurement, instructor coordination, device distribution, and seamless collaboration with partner sites. The ideal candidate will be a detail-oriented individual with excellent communication and problem-solving skills, capable of managing multiple tasks simultaneously in a dynamic environment.

    Key Responsibilities

    Program Planning and Logistics

    • Develop and maintain detailed project plans and timelines for digital skills classes
    • In collaboration with the Senior Program Manager, coordinate all logistical aspects of class delivery, including scheduling, room reservations (at partner sites), and material preparation
    • Serve as the primary point of contact for partner site staff regarding all planning and logistical needs
    • Proactively identify and address potential logistical challenges to ensure smooth program delivery

    Instructor Coordination

    • Assist in the recruitment and onboarding of qualified Digital Skills Instructors (contractors)
    • Serve as the main point of contact for instructors, providing necessary information, resources, and support
    • Coordinate instructor schedules and ensure timely communication regarding class details and any changes
    • Collect instructor feedback and collaborate with the Program Operations Coordinator to ensure ongoing instructor development efforts

    Device Distribution

    • Coordinate all logistical aspects of device distribution events; including the planning and assigning of tasks to contractors
    • Attend and act as the primary point of contact for each distribution event
    • Assess equipment needs for each class and procure computers, peripherals, and other necessary technology
    • Develop and implement efficient processes for the distribution and collection of devices (e.g., laptops, tablets) to program participants. Distribution events will serve groups as small as 15 to as large as 250+
    • Maintain accurate records of device assignments
    • Troubleshoot basic device-related issues or escalate as needed
    • Manage inventory control of equipment and supplies. This includes receiving, storing, transferring, and tracking items to ensure adequate availability and proper maintenance.

    Administrative Tasks

    • In collaboration with Digital Skills Instructors, maintain accurate program records, including attendance, participant information, and equipment inventory
    • Assist in the preparation of program reports and data collection efforts
    • Process invoices and track program expenses related to logistics and equipment
    • Contribute to the development and improvement of program materials and processes

    Qualifications & Skills

    • Commitment to diversity, digital equity, and the mission and work of Everyone On
    • Experience working with diverse populations, including under-resourced communities of color and tribal populations
    • Bachelor’s degree, or equivalent experience
    • Minimum of 2 years of professional experience in program coordination, event planning, or project management, preferably in an educational or community-based setting
    • Track record of successfully administering multiple projects simultaneously
    • Extremely organized with strict attention to detail and the ability to set priorities and follow up on tasks to meet deadlines
    • Excellent interpersonal, and written and verbal communication skills
    • Positive, team-oriented attitude with a can-do approach to problem-solving
    • Motivated to work collaboratively in a fast-paced, ever-changing environment
    • Ability to manage multiple digital inclusion initiatives simultaneously, using a variety of strategies to achieve desired outcomes
    • Able to work independently, set priorities, and manage multiple deadlines
    • Ability to plan, coordinate, and assign tasks for public-facing team events
    • Advanced proficiency with office productivity tools such as Google Suite, Microsoft Office, Asana, Zoom, and other technology platforms and tools
    • Proficiency with digital record-keeping via a spreadsheet or database
    • Must be based in Milwaukee or Waukesha County

    Compensation and Application Process

    The salary for this position is $63,000 - $65,000. Everyone On offers competitive compensation and a strong benefits package that includes employer-sponsored health, dental, and vision insurance, a monthly technology reimbursement, a 3% match on employee retirement contributions, a generous professional development budget, up to 20 days of PTO in your first year, and 11+ paid holidays each year.
