This role uniquely serves both organizations to ensure seamless office operations and administrative support in a shared workspace.

    POSITION

    We are seeking a proactive and highly organized Office Administrator to support day-to-day operations for both Issue One and FMC. This individual will divide their time between the two organizations, working with clear schedules and defined responsibilities to ensure each office runs smoothly and efficiently.

    This position is especially well-suited for a seasoned administrative professional seeking a meaningful, lower-stress role that offers greater stability, structure, and routine. We are seeking an individual who is eager to contribute to mission-driven work while prioritizing a healthy work-life balance. A long-term commitment to the role is strongly preferred.

    Success in this role will require exceptional attention to detail and the ability to juggle multiple priorities across two organizations. The ideal candidate will be someone who thrives on structure, can calmly manage shifting demands, and consistently delivers high-quality work with minimal oversight.

    Responsibilities

    General Office Management (50%)

    • Oversee office operations, including maintaining common areas, managing supply inventories, and ensuring the office environment is presentable and well-stocked with supplies, snacks, and drinks.
    • Serve as the primary point of contact for facilities-related issues, coordinating with building management and external vendors as needed.
    • Assist with planning and setting up in-office meetings, including reserving meeting space, coordinating technology setup, and arranging catering.
    • Manage both organizations' incoming and outgoing mail, courier services, and deliveries.
    • Support hybrid work arrangements by ensuring staff have access to needed equipment and resources both in-office and remotely.

    Administrative Support (50%)

    • Assist with scheduling meetings, travel arrangements, and expense reporting for staff when needed.
    • Support operational and HR processes, such as updating contact lists, maintaining filing systems, and handling routine administrative tasks.
    • Collaborate with team members to provide logistical support during events, including setup, vendor coordination, and other hands-on tasks.
    • Other tasks may be assigned. There is no task “beneath” the Office Administrator because they have their hand in everything, but every task will be connected to their overall work.

    Shared Responsibilities

    • Act as a bridge between Issue One and FMC to manage overlapping operational tasks and ensure smooth communication between the two organizations.
    • Maintain and adhere to a clear, structured schedule that outlines responsibilities for each organization to avoid conflicts and maximize efficiency.
    • Participate in cross-functional projects and initiatives that enhance the overall effectiveness of both organizations’ operations.

    Job-Related Experience

    • Prior experience in office management, administrative support, or a similar role is highly desirable.
    • Proven ability to maintain accurate records, manage inventory, and perform administrative tasks efficiently.

    Job-Related Knowledge, Skills, and Abilities

    • Excellent communication skills, both written and verbal.
    • High computer proficiency, particularly with Google Workspace, Excel, and Mac iOS, Microsoft 365, Canva, Slack, and Adobe.
    • Strong organizational skills and exceptional attention to detail, with the ability to manage competing priorities across two teams.
    • Demonstrated ability to prioritize tasks effectively, follow through on assignments, and maintain focus in a fast-paced environment.
    • Customer service-oriented mindset with the ability to interact professionally with staff, external stakeholders, and vendors.

    Structure and Location

    This is a full-time, fully benefited position requiring 40 hours per week. The role is based in Washington, D.C., with in-office attendance required. Once the 90-day probation period is over, there’s a possibility of periodic remote days. These will be discussed with the Office Administrator at a later date.

    Tentative Recruitment Timeline

    • July 1-11: The position is posted, and resumes are collected
    • July 14-18: Resumes are screened and top candidates are identified for interviews.
    • July 21-23: First-round panel interviews take place.
    • July 24-28: Second-round panel interviews with finalists take place.
    • July 31: Preferred candidate named and the role offered (contingent on a background check and verification of all educational credentials).
    • August 18-New candidate begins (flexible start date)
