    POSITION DESCRIPTION

    The American Association of Family and Consumer Sciences is a 501(3)c nonprofit Association that is currently seeking a candidate for the position of Administrative Assistant.

    This position is vital to the success of AAFCS and its programs and will work closely with all departments to support day-to-day operations and the AAFCS offices in Alexandria, Virginia.

    This position will report to the Associate Director of Operations and Events. Day-to-day tasks will include processing incoming payments, receiving and processing mail, preparing and sending shipments, scanning and filing documents, preparing reports in excel, receiving and responding to questions from customers through email and phone, and other duties as assigned.

    QUALIFICATIONS

    At least two years of experience in administrative support roles is required.

    An associate degree is desired.

    Experience using Microsoft Office, Salesforce, databases and/or Association Management Systems (AMS) with the affinity to learn new software and systems.

    Demonstrated organizational, analytical, critical-thinking, and problem-solving skills.

    Experience anticipating deadlines and handling multiple and competing priorities to meet concurrent deadlines.

    Skillful in composing and editing documents.

    Strong customer service skills and ability to deal with questions and concerns in an articulate, efficient, and diplomatic manner.

    Ability to work well both individually and as a team member.

    RESPONSIBILITIES

    Answer and direct incoming phone calls, emails, and mail.

    Receive and process incoming payments.

    Create, review, and process invoices and requests for payment.

    Scan and file documents.

    Prepare reports using excel, word, and PowerPoint.

    Package and ship AAFCS materials.

    Maintain AAFCS inventory of supplies, equipment, and materials.

    Assist in planning and executing internal and external events, including meetings, workshops, conferences, and social gatherings.

    Coordinate shipments to meetings, conferences, and events.

    Liaise with vendors and service providers to ensure timely delivery and quality standards.

    Support the management of Committee, Community, and Board meetings including review and update of membership rolls, creation of meeting materials, notetaking, and more.

    Perform other duties as assigned.

    SALARY RANGE

    The salary range for the position is $35,000 - $55,000. Annual salary commensurate with experience and education.

    WORK REQUIREMENTS

    This is a partially remote position – requiring the employee to normally be in the AAFCS offices in Alexandria, Virginia one day a week.

    Minimum travel is required. This may include travel to the Annual Conference, Fall Leadership Summit, or staff retreat.

    The employee must have normal visual acuity at near and far distance with correction and hear the spoken word. The employee must be fluent in English. While performing the duties of this job, the employee is regularly required to sit and to work at a computer. The employee is frequently required to use hands to handle or touch objects, tools, or controls and to talk fluently. This position may occasionally require the employee to walk unaided, bend, stoop, reach above their head, have the use of both fine and gross motor skills, and lift or move heavy objects, equipment, or boxes.
