Operations Manager
15 hours a week,
Position Summary
The Operations Manager supports the day-to-day administrative, technical, and programmatic functions of the Chaplaincy Institute. This role ensures smooth internal operations across systems, communications, and program logistics, working collaboratively with staff to support courses, community programs, and organizational processes.
Systems and Administrative Operations
- Manage and maintain operational systems including Salesforce, Moodle, and internal databases
- Support development and maintenance of operational workflows and tools
- Assist in tracking and implementing organizational processes and systems improvements
Program and Academic Support
- Coordinate with the Dean of Academics to schedule faculty and teaching assignments
- Support course setup and updates in Moodle as needed
- Create and process course evaluations using SurveyMonkey
- Support tracking and reporting related to program performance
Community and Clergy Support
- Assist Community Minister with Clergy in Good Standing (CIGS) processes, including documentation and ID badge production
- Produce certificates, clergy cards, and official documentation
- Manage affinity group membership and communications
Communications and Content Support
- Update and maintain website content (WordPress)
- Support weekly community emails and broader list communications
- Assist with content creation including graphics and visual materials (Canva)
- Coordinate communications across platforms such
Events and Program Logistics
- Support planning and execution of events including ChiTalks, Spirit and Study Sessions, and Ordination
- Develop and manage ordination program materials and webpage
- Coordinate collection of ordinand bios, headshots, and materials
- Manage logistics including stole ordering and event documentation
Media and Content Production
- Edit and prepare video content for programs and communications
- Support creation of digital and print program materials
Ongoing Responsibilities
- Attend staff meetings
- Provide administrative and operational support across departments as needed
- Support bookkeeping and financial tracking processes as assigned
Skills Required
- Strong organizational and systems management skills
- Ability to manage multiple projects and priorities
- Clear written and verbal communication
- Able to see what’s needed to be done and willing to jump in and help
- Experience with or ability to learn:

- Moodle

- Constant Contact
- Google Groups
Eligibility
- W2 employee living in California, Washington, Oregon or Maine
- OR 1099 contractor in any state
