Development Specialist
TITLE: Development Specialist
FLSA: EXEMPT
LEAD: Director of Development
SUMMARY: The Development Specialist is responsible for supporting the organization’s fundraising, development, revenue, and related operational activities. This role manages key processes related to sponsorships, peer-to-peer fundraising, donor communications, e-marketing, revenue tracking, charitable registrations, grant development, and development administration. The specialist maintains accurate fundraising and financial data, coordinates compliance and reporting requirements, and partners with internal teams, external vendors, and community contacts to ensure timely and effective execution of development activities. The specialist also identifies opportunities to improve systems, processes, and data integrity and plays an important role in advancing organizational fundraising goals and supporting the organization’s broader development and operational priorities.

Duties specific to the Development Specialist role:
Fundraising and Development
- In partnership with the development team, develop and deploy A/B testing emails and track results to support continuous improvement of engagement and fundraising communications
- Prepare and distribute development-related email communications and outreach
- Develop and maintain the organization’s marketing calendar for community outreach and fundraising campaigns
- Maintain regular communication and engagement with the social media contractor and the broader community to support fundraising and development efforts
- Research and evaluate potential grant opportunities and determine which opportunities are appropriate to pursue based on organizational priorities, funding requirements, and available resources
- Lead the development and preparation of grant proposals and applications, coordinating information and contributions from multiple departments and ensuring submissions align with organizational priorities and funding requirements.
- Manage the grant opportunity pipeline, prioritizing upcoming opportunities and deadlines while maintaining accurate and up-to-date records of submissions, outcomes, and statuses, including opportunities that are not awarded.
- Serve as a point of contact for peer-to-peer fundraising activities, providing support to participants and internal teams
- Track and analyze peer-to-peer and other fundraising activity and metrics to support reporting and decision-making
- Track and analyze e-marketing performance metrics to measure engagement and inform future communications
Finance
- Oversee revenue invoicing processes to ensure timely and accurate payments, including providing remittance information to payees
- Manage revenue data, including pledged revenues, donations, and receivables, ensuring accurate and timely recording and maintenance of supporting documentation
- Prepare and distribute donor acknowledgment letters within 48 hours of receiving
- Generate scheduled reports for the CPA team, including weekly donation and monthly accounts receivable reports
- Review daily online donations, making necessary edits to maintain data integrity
Compliance
- Oversee the organization's state charitable registration process, including coordinating with the external vendor, reviewing and evaluating filings for accuracy and completeness, resolving issues as needed, approving filings for submission, and ensuring compliance deadlines are met.
- Gather and submit deposit documentation and Letters of Agreement in support of the annual audit
- Manage the preparation, distribution, and maintenance of Letters of Request and Letters of Agreement, ensuring accurate records and alignment with organizational requirements.
- Coordinate sponsorship deliverables between the Development and Programs teams in alignment with the terms outlined in sponsorship Letters of Agreement
Administrative
- Monitor and manage the virtual PO Box, distributing as needed
- Generate and clean mailing lists to support development and individual giving as well as update any database records post mailing
- Research, evaluate, and recommend platforms, software solutions, and operational tools that support development needs and improve effectiveness
- Identify opportunities to improve fundraising, development, and related operational processes and make recommendations to enhance efficiency, effectiveness, data integrity, and organizational outcomes
- Manage and update organizational profiles on Charity Navigator, Candid and other nonprofit assessment platforms
- Ensure that all PMD Alliance participant information is captured in the organizational database
- Perform accurate and efficient data entry to support organizational operations
- Order organizational swag as needed
- Other duties as assigned
Minimal Requirements:
- High School diploma required
- Comfortability with technology; ability to navigate software
- Ability to multitask and excel in a fast-paced, rapidly evolving environment
- Strong critical thinking skills with the ability to design efficient, user-focused processes
- Ability to thrive in a dynamic environment and collaborate effectively with interdisciplinary teams
- Self-motivated; able to work independently with minimal supervision

- Ability to office at home; comfortable with telecommunication/teleconferencing
- Availability to work a flexible schedule on occasions, including evenings and weekends, to support webinars, programs and events
- 5% Travel
