    VAHSO Position Title: Project Manager Appalachian Promise Alliance

    FLSA Status: Part-Time / Exempt

    Organization: Appalachian Promise Alliance

    Program: Buckle Up Appalachia (BUA)

    Reports To: Executive Director

    Works Closely With: Senior Program Coordinator and Program Coordinator

    Location: Bristol TN/VA

    Position Overview

    The Project Manager (PM) oversees administrative, financial, and strategic operations for the Buckle Up Appalachia (BUA) program under the Appalachian Promise Alliance. The PM plays a critical role in sustaining and growing BUA's mission to reduce traffic-related injuries and fatalities in the Appalachian Highlands Region.

    While field coordinators focus on direct youth and community engagement, the Project Manager ensures seamless program operations through grant management, compliance oversight, inter-agency partnerships, and operational support for the coordination team.

    Current hiring is for a VADMV– Virginia Dept of Motor Vehicles grant..

    Key Responsibilities

    Grant & Financial Management

    • Collaborate with executive leadership to identify, write, submit, and manage local, state, and federal grant opportunities.
    • Oversee grant compliance, track deliverables, and prepare required quarterly claims, progress reports, and financial documentation.
    • Monitor program expenditures and manage material procurement, ensuring resources are delivered and utilized efficiently.

    Program & Team Support

    • Provide operational support and guidance to the Senior Project Coordinator and Project Coordinator.
    • Assist coordinators with logistical planning, curriculum practice, and event execution for community and school presentations as needed and as time allows.
    • Maintain clear communication flow between field staff and executive leadership.

    Administrative & Data Management

    • Collects and compiles workshop evaluation data.
    • Provides analysis to some extent.
    • Supports digital outreach efforts by contributing content for social media campaigns and helping maintain the BRAKE 4 LIFE online resource hub.
    • Maintains grant program records–time and travel sheets, and provides items needed for the VAHSO Grant quarterly reports.

    Professional Development & Administration

    • Attend relevant webinars, regional conferences, and specialized training sessions to stay current on traffic safety initiatives and grant management best practices.
    • Perform other program-related duties as assigned by the Executive Director to support organizational growth and community impact.

    Qualifications

    Education & Experience

    • Education: Associate degree or bachelor's degree in Public Administration, Non-Profit Management, Public Health, Business Administration, Education, or a related field preferred (High School Diploma or equivalent required with relevant experience).
    • Experience: 2+ years of experience in project management, grant administration, non-profit coordination, or public health outreach required.

    Knowledge, Skills, and Abilities

    • Strong organizational, writing, and budget management skills.
    • Demonstrated ability to work with teams, balance multiple deadlines, and manage program logistics.
    • Outstanding written and verbal communication skills, with confidence presenting to diverse groups and partner organizations.
    • Proficiency with Google Workspace / Microsoft Office, basic grant reporting portals, and digital communication tools.
    • Willingness to obtain Title VI certification, serve as the designated Title VI Coordinator, conduct training for certifying employees, board members and volunteers.
    • Collaborative mindset with a strong commitment to community safety and non-profit service.
    • Ability to work independently as well as part of a team, with a flexible and proactive attitude.

    Working Conditions & Physical Requirements

    • Type: Part-time position with flexible scheduling (requires occasional evening or weekend hours for events or board meetings).
    • Location: Hybrid working environment combining remote work and office time. Offices are located at 100 Ash Street #2 Bristol TN.
    • Travel: Regional travel throughout the Appalachian Highlands Region (Bristol and surrounding areas) is required.
    • Physical Demand: Ability to set up event materials, transport program supplies, and lift up to 25 pounds.

    Hours and Salary: Part time, averaging 10 hours or less per week, total gross annual salary, $ 10,920
