    Executive Assistant & Operations Manager

    Lawyers for Civil Rights (LCR) works with people of color, immigrants, and low-income communities to fight discrimination, foster equity, and pursue justice through creative and courageous legal advocacy, education, and economic empowerment. In partnership with law firms and community allies, we provide free, life-changing legal support to individuals, families, and small businesses.

    Job Description

    Lawyers for Civil Rights (LCR) is seeking a strategic, detail-oriented, and mission-driven Executive Assistant & Operations Manager to play a central role in powering our internal infrastructure and external impact.

    This is more than an administrative role — it’s a chance to help drive equity and justice from behind the scenes. You’ll serve as a key partner to the Executive Director and Development Director, coordinating high-level meetings, supporting fundraising and communications efforts, and ensuring smooth day-to-day operations. You’ll also help cultivate a connected, values-driven team culture through thoughtful planning, engagement, and support.

    The ideal candidate is a skilled project manager, strong communicator, and collaborative problem-solver who thrives in a fast-paced, mission-driven environment. From organizing donor reports to leading staff retreats, your work will directly contribute to advancing LCR’s civil rights mission.

    Work Responsibilities

    Key responsibilities include, but are not limited to:

    Executive & External Support (30%)

    • Manages the Executive Director’s calendar and coordinates meeting logistics with internal and external stakeholders.
    • Prepares agendas, briefing materials, notes, and follow-ups for quarterly board meetings and other key meetings and speaking engagements.
    • Coordinates logistics for travel, public appearances, and events.
    • Maintains organized digital systems and files to support executive communication and workflows.

    Fundraising & Communications Support (30%)

    • Tracks meetings, follow-ups, deadlines, and deliverables related to partnerships, fundraising, and board engagement.
    • Drafts and edits written communications, talking points, presentations, and reports.
    • Supports fundraising administration, including donation tracking, gift acknowledgements, grant timelines, reporting requirements, and donor event coordination.

    Operations, Coordination & Preparedness (30%)

    • Coordinates internal planning timelines, meeting logistics, and team communication systems.
    • Oversees office functionality, including ordering supplies, maintaining inventory, and coordinating with vendors.
    • Supports logistics for retreats, staff meetings, strategy sessions, and training.
    • Processes purchases, reimbursements, and vendor invoices with accuracy and attention to details.
    • Organizes onboarding and offboarding logistics, including workspace setup and tool access.
    • Supports clear internal communication and coordination during transitions or high-pressure moments.
    • Assists with routine troubleshooting and contributes to system improvements that enhance organizational effectiveness.

    Team Culture & Staff Engagement (10%)

    • Coordinates team bonding activities, staff appreciation efforts, and wellness initiatives.
    • Supports onboarding processes that create a welcoming and prepared experience for new team members.
    • Maintains internal office calendars, reminders, and planning updates to support team alignment.
    • Tracks and celebrates staff milestones, birthdays, and organizational achievements.
    • Reinforces equity-centered values in day-to-day coordination, communication, and team support.

    Qualifications

    • 2–4 years of experience in operations, executive support, fundraising, or nonprofit administration, ideally within mission-driven or advocacy organizations.
    • Strong organizational and project management skills with the ability to juggle multiple priorities, manage logistics, and meet deadlines with attention to detail.
    • Excellent written and verbal communication skills; able to support executive leadership, coordinate stakeholders, and prepare materials.
    • Experience planning events or managing logistics for meetings, retreats, or fundraisers.
    • Proficiency with Google Workspace, Microsoft Office, Salesforce, Mailchimp, Canva, and Zoom (or similar platforms).
    • Commitment to racial, economic, and social justice, with a demonstrated ability to work respectfully and inclusively with people from diverse backgrounds.
    • Ability to thrive in a dynamic environment, work independently and collaboratively, and handle confidential information with professionalism.
    • Willingness to work in-person with occasional evenings or weekends for community events or fundraising activities.
    • Language skills in Spanish, Haitian Creole, Mandarin, or other languages are strongly preferred.
    • A degree is helpful but not required; we welcome candidates with equivalent experience and a strong commitment to civil rights.
