    Position Summary:

    PVF is seeking a Program and Communications Associate to join our team! The position’s primary responsibilities will be to support our organization’s programs, and will also provide administrative support with day-to-day activities and communications support as needed.

    The ideal candidate will be experienced in handling a wide range of administrative tasks and must be highly organized, reliable, and detail oriented. They will be able to work independently, effectively managing shifting priorities and time-sensitive projects to meet deadlines, while also being flexible to work collaboratively with the staff as needed.

    This is a full-time in-person position Monday-Friday from 8:30am-5pm at our office in Downtown Oakland. The position provides an excellent opportunity to gain experience in non-profit program, development and communications roles. The Program and Communications Associate reports to the Program Manager and Chief Operating Officer.

    Responsibilities:

    Program Support

    • Immediate Response Teacher Resource Grant Programs: Manage 1-2 programs independently, including outreach, application review, grant processing, mailing, collecting reports and reporting to donors
    • Scholarship Programs: Manage 1-2 programs independently, including outreach, application review, grant processing, mailing, collecting reports and reporting to donors
    • Support Program Manager with grant program administration, including reports as needed

    Communications Support

    • Support the Communications Team with blogs and newsletters, and social media
    • Support with creating the yearly annual report
    • Support with WordPress website updates

    Administrative Support

    • Support COO with onboarding new funds, including creating fund agreements and managing DocuSign
    • Support Gifts Administrator and Grants Administrator with data entry as needed
    • General administrative support, including assembling board documents, filing and scheduling

    Requirements:

    • Excellent time management skills, with a proven ability to prioritize and handle multiple tasks independently
    • Highly organized with a close attention to detail and creative problem-solving skills
    • Strong Microsoft Word & Excel skills and computer/internet savvy
    • Excellent project management skills with an ability to quickly learn and understand new processes
    • High level of flexibility and responsiveness
    • Committed to continuous learning and improvement; takes initiative to solve problems
    • Excellent written and verbal communication skills
    • Ability to learn, navigate and manage online platforms including CRM databases, donation management systems, and communication platforms
    • Experience in Canva, WordPress, and Constant Contact is not required, but is a plus
    • Nonprofit experience is not required, but is a plus

    Compensation and Benefits:

    $62,400-$68,250/year ($32-$35/hour) depending on experience plus benefits after an introductory period including a health insurance stipend; professional development stipend; a 10% retirement contribution; employer matching of charitable donations; paid time off; sick time; and 12 paid holidays.
