    Job Summary

    Reporting to the Executive Director, the Staff Accountant supports the day-to-day operations of NSC’s Finance and Accounting department. This position plays a key role in maintaining accurate financial records, supporting grant compliance and receivables management, and contributing to the organization’s annual budget process. The Staff Accountant will serve as an internal point of coordination with NSC’s outside third-party accounting firm, ensuring a timely and accurate exchange of financial data and supporting documentation.

    Essential functions

    • Support the month-end close process, ensuring transactions are recorded accurately and on time.
    • Perform account and credit card reconciliations and resolve discrepancies in a timely manner.
    • Provide coding support across departments to ensure expenses are recorded in alignment with budgeted line items.
    • Recommend improvements to internal controls as issues or opportunities are identified.
    • Serve as a primary internal contact for NSC’s outside third-party accounting firm, facilitating the timely flow of financial documentation, schedules, and data requests.
    • Prepare and organize supporting materials needed by the firm for monthly, quarterly, and year-end reporting.
    • Follow up on outstanding items and ensure deliverables are completed accurately and within established timelines.
    • Assist the Executive Director in the preparation of NSC’s annual organizational budget, including gathering program-level data, compiling expense projections, and formatting budget schedules.
    • Assist with cash flow projections, expense reports, revenue forecasts, and other fiscal reports as directed.
    • Assist with the annual audit and Single Audit by preparing key schedules, restricted asset documentation, and cash and receivables-related workpapers.
    • Respond to auditor requests.

    Non-Essential Functions

    • Attend relevant workshops or professional development opportunities to maintain and expand accounting knowledge.
    • Adhere to NSC’s confidentiality guidelines and ensure appropriate handling of sensitive financial information.
    • Attend and participate in relevant staff meetings to support communication and departmental goals.
    • Perform other duties as assigned within the scope of this position.

    Qualifications

    • 1–3 years of experience in accounting, financial reporting, or a related field.
    • Experience with federal grants and/or nonprofit accounting is strongly preferred.
    • Proficiency in Microsoft Office, with strong Excel skills required.
    • Familiarity with accounting software; experience with fund accounting systems a plus.
    • Detail-oriented with strong organizational skills and the ability to manage multiple priorities in a fast-paced environment.
    • Demonstrated ability to follow through on tasks with accuracy and within deadlines.
    • Collaborative work style with strong interpersonal and communication skills.
    • Commitment to NSC’s mission and the communities it serves.
    • Adherence to all NSC policies and procedures.

    Experience, Education, and Licensure

    Bachelor’s degree in Accounting, Finance, or a related field preferred. Relevant professional experience in a nonprofit or grant-funded environment will be considered in lieu of or in addition to formal education.

    LOCATION AND HOURS This is a full-time, in-person position based in our Philadelphia office with potential for hybrid work as team needs allow. Our regular hours are Monday to Friday, 9:00 am to 5:00 pm, and this position requires working occasional evenings and weekends.

    COMPENSATION The salary range is $55,000 - $65,000. The benefits package includes generous vacation and sick leave; paid sabbatical leave; early close Fridays; 83% employer-paid health, dental, and vision coverage; short-term disability, long-term disability, life insurance, 403(b) with an employer match.

    While Nationalities Service Center is committed to program sustainability, employment is dependent on the continued availability of funding.
