    Descrição

    Purpose of the Position: The Program and Operations Assistant performs various office functions so that the programs, ministries, and operations of All Souls thrive. This includes managing publications, building usage, building rentals, and operational flow. This position would work with other staff members and volunteers in support of All Souls mission and community. This position involves working Sundays from 8:00am to 1:00pm.

    ESSENTIAL RESPONSIBILITIES

    General

    • From the front desk, welcome and assist newcomers, participants, and community members who come seeking information, resources, or connection
    • Participate in regular staff meetings and, with other church leaders and staff, help to plan and envision the future of the church and its administrative needs
    • Serve as a central role for program and operation coordination
    • Other duties as assigned

    Office Management

    • Answer and direct telephone calls, emails, postal mail, and walk-in visitors
    • Manage the materials necessary to run the church office, including ordering supplies and equipment as needed by staff.
    • Work with volunteers and other supports as needed to ensure a functioning IT system at All Souls.
    • Provide first level tech support for staff and volunteers.
    • Order supplies (included food) as requested for church meetings.
    • As a backup, enter data about members, visitors, and financial information, and run reports as requested.

    Building and Grounds

    • Ensure that the facility is inviting and attractive to all who come. Work with the Maintenance Director and volunteers to ensure the smooth operation of the facilities.
    • Manage contacts with outside vendors (copier maintenance, snow removal, telephone system, etc..)
    • Maintain list of building keys/key codes and distribute them to authorized users.
    • Maintain the church’s calendar of both on and off-site events
    • Schedule the use of the building by church groups and staff
    • Administer church rental policies and guidelines. First line of contact for space use inquiries and issues, including showing the facility to potential users.Manage the congregation’s relationship with renters (typically generating over $70k a year), including executing contracts, coordinating building access and usage, and ensuring a clean space both pre- and post event.

    Communications

    • Handles the development and production of weekly communications includes our weekly newsletter, Sunday order of service, connection card, and other communications needs as directed.
    • Provide weekly updates to the website.
    • Other duties as assigned

    Operational Support

    • Enter weekly cash and check deposits made toward pledges and plate cash.
    • Recruiting and engaging volunteers in the operational work of the church.
    • Attend relevant meetings with volunteer committees and teams within functional areas of responsibility.
    • Maintaining accurate records, files, and program documentation.
    • Creates an annual work plan in collaboration with the Executive Team
    • Provide administrative and clerical support for the Board President and Board of Trustees as needed.
    • Other duties as assigned

    Programming Support

    • Supports All Souls ministry and programming
      • Knowledgeably communicates about all ASCU programs in response to inquiries from congregants and the general public
      • Schedule Zoom usage, and manage necessary host privileges.
      • Manages registrations, rosters and email lists
      • Supports with child care coordination as needed
      • Helps produce copies of program materials as requested.

    QUALIFICATIONS

    Requirements:

    • At least 5 years of relevant work experience
    • Highly proficient with office management tools (Microsoft/Google) and other systems for membership and event management

    • Must have strong writing and editing skills to support our professional communications.

    • Proficiency in database management and data analysis
    • Ability to work independently and as part of a team
    • Passion for ministry and a commitment to serving the church community
    • Ability to manage multiple tasks and prioritize responsibilities
    • Knowledge of church administration and best practices
    • Ability to communicate effectively with diverse audiences

    Benefits include health insurance, retirement contribution, life insurance, long-term disability, and a professional expense account. Currently, health insurance is a 90/10 split. The church provides a 10% annual contribution to the UUA retirement plan after the first year of employment.
