The Senior Director of Finance and Operations oversees all operational and administrative functions that support CaringMatters’ mission, values, and strategic goals. This includes finance, human resources, IT, and office operations. The Finance Director is part of the Senior Leadership Team, which includes the CEO, Chief Communications Officer, and Office Manager.
This is a hands-on leadership role responsible for financial management, HR oversight, and supervising the Office Manager. The Finance Director also collaborates with volunteers as part of operational and program support.
Key Responsibilities
Finance & Accounting
- Manage day-to-day financial operations
- Along with the CEO, develop the annual agency budget for Board approval
- Work closely with consultant bookkeeper to ensure timely and accurate entry of financial transactions
- Maintain current chart of accounts and labor distribution
- Run reports from QuickBooks (expenses, revenues, program budgets, etc.)
- Process accounts payable and ensure timely vendor payments
- Monitor bank account balances and manage cash flow
- Prepare financial reports for the CEO, Fiscal Committee, and Board of Directors
- Provide budgets and fiscal reporting for grants and proposals
- Maintain strong internal controls and recommend segregation of duties as needed
- Oversee insurance coverage and risk management
- Coordinate annual audits and ensure timely submission of IRS Form 990
- Maintain and update fiscal policies and procedures with Board approval
Human Resources
- Maintain up-to-date personnel policies and employee handbook in compliance with labor laws and best practices
- Support CEO in hiring, onboarding, and separation processes
- Coordinate payroll through external payroll provider and ensure accurate compensation
- Manage employee benefits with broker support, assisting staff with enrollment and understanding their options
- Maintain confidential employee salary and benefits records
- Maintain membership in SHRM to stay current on HR law and best practices
Operations
- Serve as point of contact for IT and Database, and liaison to external tech support
- Review and maintain all vendor contracts
- Work as part of the team to plan and execute major fundraisers
Supervision & Leadership
- Collaborate with senior leadership team to align operational, financial, and HR practices with organizational goals
- Work closely with the Office Manager to support smooth processing of revenues
- Serve as a resource for staff and volunteers on finance, HR, and operational matters
Qualifications
- Bachelor’s degree in accounting, Finance, Business Administration, or related field required. MBA or CPA a plus
- 8+ years of nonprofit financial management experience, budgeting, and reporting
- Experience supervising staff or managing operational teams
- Knowledge of nonprofit accounting, internal controls, and compliance requirements
- Knowledge of HR practices, payroll, and benefits administration
- Proficiency with QuickBooks, Microsoft Office, and SharePoint. Knowledge of Bloomerang DMS preferred
