Position Summary
The Operations Associate provides direct administrative and operational support to the Executive Director while assisting with the day-to-day functions of the Operations Department. This role is responsible for managing administrative tasks, coordinating projects, maintaining organizational systems, and supporting special initiatives that contribute to the overall efficiency and effectiveness of L.O.V.E.
The ideal candidate is highly organized, dependable, adaptable, and proactive. They excel at managing multiple priorities, communicating professionally, and anticipating organizational needs. This individual serves as a trusted support partner to the Executive Director while collaborating with staff across departments to ensure operations run smoothly in alignment with L.O.V.E.'s mission.
Key Responsibilities
- Provide administrative and operational support to the Executive Director, including calendar management, scheduling meetings, preparing materials, and coordinating follow-up tasks.
- Assist with special projects, organizational initiatives, and strategic priorities as assigned by the Executive Director.
- Coordinate internal meetings by preparing agendas, taking meeting notes, and tracking action items.
- Maintain organized digital and physical filing systems, records, and organizational documents.
- Support daily office operations, including managing supplies, correspondence, and general administrative needs.
- Assist with onboarding logistics, staff communications, and organizational events.
- Help coordinate travel arrangements, event logistics, and scheduling for leadership and organizational activities.
- Support data entry, recordkeeping, reporting, and document preparation across departments.
- Assist with bookkeeping support, expense tracking, invoice processing, reimbursements, and purchase documentation as assigned.
- Monitor project timelines and provide administrative support to ensure deadlines and deliverables are met.
- Collaborate with staff to improve workflows, maintain operational systems, and support cross-functional initiatives.
- Serve as a professional point of contact for internal and external stakeholders when appropriate.
- Maintain confidentiality while handling sensitive organizational, personnel, and financial information.
- Perform other administrative, operational, and special project duties as assigned.
Qualifications
- Commitment to L.O.V.E.'s mission and values.
- Enrollment in or recent graduation from an accredited college/university (business administration, nonprofit management, communications, public administration, accounting, or a related field).
- Experience providing administrative, executive, or operations support in a professional setting.
- Strong organizational, time management, and communication skills.
- Ability to manage multiple projects while maintaining attention to detail.
- Experience working with youth, especially in diverse and under-resourced communities.
- Successful completion of a background check.
Preferred Skills
- Bilingual in Spanish and English.
- Exceptional organizational skills with strong attention to detail.
- Excellent written, verbal, and interpersonal communication skills.
- Ability to anticipate needs, solve problems proactively, and work independently.
- Experience supporting executive leadership or senior management.
- Proficiency in Google Workspace (Docs, Sheets, Slides, Drive, Calendar) and collaboration tools such as Slack, Canva, Asana, or Microsoft Office.
- Familiarity with QuickBooks or basic bookkeeping and financial tracking.
- Experience coordinating projects, events, or organizational initiatives.
- Strong recordkeeping, documentation, and data management skills.
- Background or interest in business administration, nonprofit leadership, education, psychology, sociology, youth development, cross-cultural studies, or organizational management.
Schedule
- Availability to work up to 32 hours per week
- Hybrid schedule with Tuesdays to Thursdays in-person, and Mondays and Fridays as remote days
