JOB TITLE: Coordinator, Office of the President
REPORTING TO: Chief of Staff
LOCATION: New York, NY (expected to be in-office at least three days/week)

ASSIGNMENT LENGTH: Indefinite
POSITION SUMMARY: The Coordinator supports the day-to-day activities of the Office of the President, interacting regularly with colleagues across the Council including the Executive Team; as well as the Board of Trustees and external stakeholders. They provide administrative support to executive and other senior staff; organize meetings and events; and administer the Council’s Philanthropy program. The Coordinator works independently and proactively; exercises good judgment; has excellent organizational, communications, and administrative skills; and is a critical thinker.
RESPONSIBILITIES:
Administrative Support (50%)
a. Provide day-to-day administrative support for the Co-Presidents and Chief of Staff, including travel arrangements, expense reporting, calendars, meeting scheduling, payments, and document signing.
b. In collaboration with the Senior Attorney: draft and mail letters and other administrative legal documents; coordinate legal authentications for the US and other countries; coordinate legal department trainings and maintain records of attendance; prepare updates and postings for the legal department’s intranet sites; and, as needed, assist with the internal management of litigation matters, including implementing document preservation procedures and assisting with the production of documents
Meetings and Events (25%)
a. Manage logistics and support preparation and execution of Executive Team, Board of Trustees, and Board Committee meetings: organize travel, catering, and remote participation; process reimbursements; coordinate preparation of agendas and dockets; take minutes and follow up on action items.
b. Assist with planning and execution of Council events, in particular those taking place at the Council’s New York office.
Philanthropy (25%)
a. Administer the Council’s Philanthropy (individual giving) program: process donations and prepare donor acknowledgements, maintain Salesforce records, coordinate semi-annual appeals and other donor communications.
