    AFS-USA is part of a worldwide network of AFS partner organizations that work together to advance global education and foster meaningful connections across cultures. As the network’s largest partner, AFS-USA works to increase the global competency of U.S. citizens by providing a variety of international and intercultural learning experiences to individuals, families, schools, and communities. We are proud of our staff from our national office in New York City as well as home offices across the county, who collaborate with our more than 2,000 AFS-USA Volunteers to deliver high quality programs and global education resources. These include immersion-based study abroad experiences in over 40 countries worldwide; opportunities to host foreign AFS exchange students; and global learning workshops and curricula for educators, schools and businesses.

    The Hosting Travel Assistant supports the safe and efficient departure and arrival of thousands of exchange students traveling to and from the United States. This role includes both in-office administrative responsibilities and on-site duties at airports and hotels.

    DUTIES/RESPONSIBILITIES:

    • Confirm international travel arrangements.
    • Process domestic airline tickets for groups and individual travelers.
    • Create and update travel schedules; share detailed itineraries with staff and volunteers.
    • Arrange hotel accommodations, meals, and ground transportation for arriving groups.
    • Meet participants arriving at New York–area airports (primarily Newark and JFK).
    • Potentially travel to Chicago or other gateway airports during peak events.
    • Escort and supervise students between airports and hotels; stay overnight when needed.
    • Communicate delays, cancellations, and issues promptly to staff.

    QUALIFICATIONS AND SKILLS:

    • Ability to work well under pressure.
    • Willingness to travel and work flexible hours, including overtime and weekends.
    • Excellent verbal and written communication skills.
    • Ability to manage multiple priorities and meet tight deadlines.
    • Strong problem-solving skills; highly motivated; attention to detail
    • Enthusiasm and flexibility to respond to the needs of AFS staff and volunteers.
    • Computer literacy, including word processing, spreadsheets, email, database management, webinar and internet applications.

    WORK EXPECTATIONS:

    • The regular business hours of AFS-USA are Monday - Friday, 9AM - 5PM EST. However, you may work a schedule outside of these hours dependent on the needs of your department. There will be times when hours will be altered due to seasonal fluctuations in workload and will include overtime, evening, and occasional weekend work. The expected start date for this position is March through September. You must be available for the entire duration of the season. This position will be a combination of remote work, on-site at needed, and in office as needed.

    SALARY:

    • The compensation for this position is $21/hourly. This position is eligible for overtime pay and sick & safe leave.
