    What You’ll Do

    The Roosevelt Institute seeks a highly organized and motivated Special Assistant to the Chief Strategy Officer (CSO) to provide direct support to the CSO and help coordinate the work of the External Relations team. This mid-level role is ideal for a candidate with approximately 4–6 years of professional experience who is eager to strengthen their skills in strategic planning, project management, administrative support, and cross-team coordination while working at the center of Roosevelt’s external relations and institutional strategy.

    The Special Assistant will provide scheduling and administrative support to the CSO, serve as a connector across the External Relations team, contribute to strategic planning efforts, and take on special projects as they arise. This role requires a proactive, detail-oriented, and collaborative professional who thrives in a fast-paced environment.

    This role reports into the Chief Strategy Officer and is a nonmanagement, unionized role.

    Essential Functions and Responsibilities

    Support for the Chief Strategy Officer and ExRel Team

    • Manage the CSO’s calendar, scheduling, and prioritization of internal and external meetings.
    • Coordinate logistics related to travel, reimbursements, and expense reporting.
    • Anticipate needs and ensure the CSO is well-prepared for meetings and engagements.
    • Provide project management support as needed for CSO or team priorities.

    Coordination Across External Relations and CSO Team

    • Support the strategy and creation behind necessary key documents, processes, and databases related to the External Relations team’s success.
    • Work across the organization to ensure alignment and coordination with all Roosevelt Institute teams and priorities.
    • Serve as a point of connection between the CSO and the External Relations team, ensuring alignment and communication across functions.
    • Coordinate projects and initiatives across communications, government relations, partnerships, and Roosevelt Society teams.
    • Track progress on team-wide goals and deliverables.

    Strategic Planning

    • Support the design and execution of strategic planning processes and prioritization for the External Relations team.
    • Draft agendas and materials for strategy sessions and follow up on action items.
    • Identify opportunities for improved collaboration and efficiency.

    Special Projects

    • Support and, as needed, lead on cross-organizational projects, which may include initiatives such as the Roosevelt Society, Roosevelt on the Road, or other emerging priorities.
    • Conduct research, draft documents, and provide project management support as needed.

    Systems and Data Coordination

    • Partner with the systems team to maintain data integrity and support workflow management in Salesforce and integrated tools.
    • Provide strategy and program updates to the systems team to refine Salesforce processes and documentation.

    DC Office Support

    • Support daily office operations, ensuring the space is maintained and well-stocked and coordinating visitor access and conference room scheduling, in close collaboration with Facilities/HR and IT
    • Support onboarding for DC-based staff and security badge management, in partnership with the Senior HR Generalist & Facility Services Associate

    What You’ll Have

    • Bachelor’s degree and approximately 4–6 years of relevant professional experience.
    • Strong organizational skills, with the ability to manage multiple projects and competing priorities.
    • Excellent written and verbal communication skills.
    • Experience with scheduling, event coordination, and/or administrative support.
    • Demonstrated ability to work collaboratively across teams.
    • Comfort with ambiguity and flexibility to take on special projects as they arise.
    • Ability to support strategic planning and priority setting.
    • Commitment to the mission and values of the Roosevelt Institute.
